We are seeking a detailoriented and proactive Operations Administrator to support our construction and field operations in North Vancouver. In this role you will provide high-level administrative documentation and data management support across active construction projects. With strong skills in Excel reporting document control and information management you will help ensure accuracy consistency and the timely flow of information that keeps our projects running efficiently.

Key Responsibilities:

Project Administration & Coordination

Provide administrative support to operations managers and superintendents.

Documentation & Records Management

Establish and maintain organized filing systems for both physical and digital documents.

Oversee document control processes including drawing revisions permit distribution and version tracking.

Ensure all documentation complies with company client and regulatory requirements.

Procurement & Subcontractor Support

Assist project teams with preparing and processing purchase requisitions.

Financial & Cost Administration

Enter code and reconcile invoices timesheets and equipment usage reports.

Collaborate with the Operations team to ensure all timecards are completed accurately and on time and that all associated payroll documentationincluding new hire paperwork terminations and rate changesis completed as required and communicated to Finance to ensure accurate payroll processing.

Health Safety & Environmental (HSE) Documentation

Support HSE personnel with document organization audit preparation and compliance-related submissions.

Qualifications

Education & Experience

Diploma or certificate in Business Administration Construction Administration or related field.

25 years of administrative experience in construction civil or industrial project environments.

Technical Skills

Advanced Excel skills (formulas pivot tables data validation formatting).

Advanced Word skills for correspondence and document editing.

Strong proficiency with MS Office Suite ERP systems SharePoint and document control platforms.

Familiarity with Acumatica is an asset.

Ability to read and interpret basic construction drawings and specifications (asset).

Strong understanding of construction documentation processes.

Soft Skills

Exceptional attention to detail and accuracy.

Strong communication organizational and coordination abilities.

Ability to work independently and manage deadlines in a fast-paced environment.

Professional positive and collaborative attitude.

Physical & Work Conditions

Primarily office-based with regular interaction with field teams.

Occasional site walks within active construction to work overtime during peak periods when required.

Compensation & Benefits

Competitive salary range: $70000 $85000
