Job Summary

Description
The Administrative Assistant (PRN) performs a variety of administrative functions including appointment scheduling transcribe meeting minutes and other notes composes memos researchers and creates presentations generates reports handles other multiple projects as assigned. May assist with compiling and developing the annual budget and clinical coordination. The position relies on guidelines and some experience and judgment to complete job and works under general supervision.


Responsibilities
  1. Mission Alignment
    1. Actively engages the Catholic and Franciscan mission and identity of Franciscan Missionaries of Our Lady University by modeling the Franciscan values honoring the legacy of the founding congregation promoting justice for the communities we serve and integrating the Catholic and Franciscan intellectual traditions in programs courses and services
  2. Project Assistance
    1. Assists in organizing and participates in special projects and events (i.e. ceremonies school assemblies faculty/department workshops) to ensure mission alignment and successful outcomes
  3. Document and Data Management
    1. Manages documents and data files systemically ensuring accuracy confidentiality and compliance with organizational standards
  4. Building/Office Functions
    1. Answers phone professionally receives shipments places work orders for building issues answers door unlocks buildings
  5. File Management
    1. Coordinates and organizes meetings as needed prepares agendas notifies members attends meetings and records minutes
  6. Document Composition
    1. Composes memos and other documents with clarity and professionalism adhering to the organizations standard for communication
  7. Calendar Management
    1. Accurately schedules appointments ensuring all relevant parties are informed and schedules are updated promptly
    2. Collaborates with faculty and administrators to reserve meeting/class/space
  8. Administrative Support
    1. Provides administrative support to the Program Director/Faculty/Department
  9. Professional Development
    1. Continuously seeks opportunities for professional growth and development staying informed about industry
  10. Other Duties as Assigned
    1. Perform other duties as assigned or requested


Qualifications

EXPERIENCE

  • Four (4) years in a professional office setting

EDUCATION

  • High School Diploma or equivalent

TRAINING

  • Proficient in Microsoft Office applications

SPECIAL SKILLS

  • Excellent customer service communication and organizational skills
