SUMMARY
Seminole Chevrolet is seeking a detail-oriented and highly organized Accounting Office Manager to join our automotive dealerships accounting team. This role will support the Controller in managing daily accounting operations ensuring compliance with financial regulations and improving financial processes. The ideal candidate has a solid background in automotive accounting excellent analytical skills and the ability to thrive in a fast-paced environment.
ESSENTIAL DUTIES
Essential Duties include the following. Other duties may be assigned.
- Assist the Controller with the preparation of monthly quarterly and annual financial statements.
- Supervises coordinates recruits and trains new office staff.
- Responsible for opening the safe and verifying contents against deposit report daily.
- Works closely with Finance to trouble shoot Deals and Held Offerings on a daily basis.
- Works closely with the Tag and Title Department to assist with the necessary completed paperwork from Finance.
- Sends out CIT to Finance daily.
- Prints and reviews SAV (save a deal) with the Finance daily.
- Assists in processing transactions as needed (i.e. billing payroll deposit cash sales etc.)
- Ensures compliance with Payroll Personnel and Sales Tax weekly.
- Maintains 8300 compliance and reporting weekly.
- Maintains petty cash funds on a monthly basis.
- Pulls Chase Bank report and posts activity daily.
- Review of the Tag & Titles Team Dealer Plate Audit monthly.
- Attend AR/Managers/Asset meetings/Business Office meetings as required.
- Prints and posts TRAC statement checks ending balance and reconciles to schedule monthly.
- Pays prepares and files Sales Tax Return and County Tire Tax Return monthly.
- Reconciles Floor Plan and Cash Reserve statements on a monthly basis.
- Implement weekly review of job duties and schedules for department personnel.
- Prepares and submits stats in CDK on a monthly basis.
- Assists with month-end workbook per checklist.
- Assist with other desks as needed.
- Manages unclaimed property monthly and prepares yearly return.
- Reconcile new and used physical inventories RDR on a monthly basis using CP Handheld Inventory system.
- Analyzes and organizes office operations and procedures.
- Controls all posted documents including time records vehicle deals commissions and additions and changes to inventory.
- Maintains an effective cash management system.
- Assists in completion of annual review/audit.
- Ensures compliance with all government regulations.
- Approves new charge accounts and oversees collection of past due accounts.
- Compiles information and prepares reports as requested by management and/or dealer principal.
- Maintains a professional appearance.
- In addition to the essential duties listed above the Office Manager is responsible for maintaining or supervising all schedules - Insure that there are no balances on any schedule over 90 days follow up and report to Controller weekly.
SUPERVISORY RESPONSIBILITIES
Directly supervises accounting office personnel.
QUALIFICATIONS
- 5 years of accounting experience within the automotive dealership industry.
- Bachelors degree in accounting Finance or related field (CPA or CMA preferred) is a plus.
- Strong understanding of dealership accounting systems (e.g. CDK Routeone Dealertrack).
- Advanced knowledge of Microsoft Excel and financial reporting tools.
- Exceptional analytical organizational and communication skills.
- Proven ability to manage multiple priorities and meet deadlines.
- Experience in supervising or mentoring accounting staff is a plus.
- Experience with one or more Automotive Accounting Desks is a plus.
