Job Description:
Berklee is seeking a highly organized proactive and collaborative Assistant to the Dean / Business Administrator to support the Professional Education Division (PED). Reporting to the Dean this role is a key operational and administrative partner helping to keep the PED Office running smoothly and efficiently while advancing Berklees mission to educate train and develop the worlds most inspired and innovative artists.
The PED is a diverse and dynamic area of Berklee encompassing five academic departments (Music Business/Management Music Education Music Therapy Professional Music and Liberal Arts & Sciences) and multiple institutes including the Institute for Arts Education and Special Needs Music Therapy Institute Berklee Institute for Accessible Arts Education Music and Health Institute and Berklee Popular Music Institute. This role supports a broad range of academic and community-facing initiatives including residencies visiting artists special events and major programs.
What Youll Do
As the administrative deputy to the Dean you will:
Manage daily operations of the PED Office including systems and procedures that support division-wide workflows.
Support annual budget planning monitoring reporting and financial administration including purchasing card oversight and expense reconciliation.
Serve as the primary liaison for internal and external constituents ensuring timely communication and professional follow-through.
Prepare advanced written materials and creative documents including agendas minutes newsletters reports and correspondence.
Manage the Deans calendar travel and scheduling for meetings and professional engagements.
Coordinate contracts and arrangements for residencies and visiting artists/scholars.
Support hiring onboarding and training of PED staff and student employees including supervision and project guidance.
Support and manage annual events special projects and division-wide programs tracking progress and outcomes.
Maintain accurate recordkeeping systems (digital and hard copy) and manage PED website and calendar updates.
Represent the division in committees and college-wide initiatives as needed.
Who You Are
The ideal candidate is a self-starter who thrives in a fast-paced mission-driven environment and enjoys working collaboratively across departments. You bring:
A college degree and at least 5 years of experience in an academic administrative or office setting
Strong interpersonal skills and comfort working with a wide range of college personnel and external partners
Excellent project management skills with the ability to prioritize competing demands and follow through independently
Strong budget and financial experience including reporting planning and monitoring
High proficiency in Mac systems and tools for word processing spreadsheets database management videoconferencing and presentations
