Redwood Coast PACE with Humboldt Senior Resource Center is looking for a full-time Administrative Assistant to support our in-home care services. Redwood Coast PACE a Program of All-inclusive Care for the Elderly is a comprehensive health plan for older adults who wish to remain living in their home and community. We provide medical social nutritional rehabilitation and support services for eligible adults. At Redwood Coast PACE the goal is to help people stay as healthy and independent as possible. Because their health ismonitoredon a regular basis many PACE participants report fewer health crises and better overall health.

The schedule for this position is Monday through Friday 8 am to 5 pm.

JOB SUMMARY: Under the supervision of the Home Care Manager the Home Care Assistant provides general and specialized administrative support to the Home Care department and orders home care supplies and durable medical equipment (DME).

ESSENTIAL DUTIES & RESPONSIBILITIES:

  1. Answers screens and transfers phone calls and emails.
  2. Prepares written correspondence including authorization letters.
  3. Performs general clerical duties including data entry faxing and mail distribution.
  4. Creates and maintains electronic filing system.
  5. Schedules and coordinates meetings for administrative supervisors.
  6. Orders supplies (incontinence supplies for participants and PPE equipment for in-home staff) and maintains office supply inventories.
  7. Reports any significant participant changes in condition to the Home Care Manager.
  8. Follows agency policies for incident reports grievances and appeals.
  9. Communicates effectively with participants family members caregivers staff and visitors.
  10. Completes documentation accurately and in a timely manner.
  11. Complies with safety policies and procedures identifying and immediately reporting any potential or actual unsafe acts or conditions per the policies and procedures. Takes necessary measures to ensure a safety environment for oneself co-workers contractors participants visitors and others.
  12. Monitors personal safety and attends to good body mechanics. Ensures infection and exposure control and is prepared in case of emergency.
  13. Continually seeks better ways for delivering services and communicating with participants.
  14. Demonstrates respect for and promotes participant rights including dignity self-determination access to care confidentiality and independence.
  15. Understands the importance of community involvement and participates as appropriate in activities that link Redwood Coast PACE to its communities.
  16. Effectively collaborates with staff peers and contractors to meet Redwood Coast PACE goals and further success.
  17. Complies with all policy and procedures.
  18. Demonstrates proficiency in delivering age-specific care.
  19. Consistently meets or exceeds quality assessment and performance improvement targets.
  20. Participates in the process of teaching training and mentoring student interns and volunteers working within the program area.
  21. Participates in on-call coverage in conjunction with the Home Care team.
  22. Demonstrates behaviors consistent with agency values: Respect Patient Courteous Tolerant Friendly and Teamwork.
  23. Additional duties may be assigned as needed that align with the responsibilities of the position and support the vision mission and values of the organization.


Qualifications

EDUCATION &/or EXPERIENCE:

  1. High school diploma or GED equivalent required.
  2. At least two (2) years of customer service and/or office experience.
  3. At least one (1) year of experience working with a frail or elderly population preferred.

LICENSES OR CERTIFICATES:

  1. Licenses or certificates are not required for this position.
  2. Valid California Drivers License and personal auto liability insurance preferred. Personal vehicle in good driving/operating condition insured for State minimum liability requirements that can be used for the applicable job functions noted above preferred.

PRE-SCREENING REQUIREMENTS:

  1. Requires clearance of a DOJ and FBI criminal history background check
  2. Pre-employment physical and PPD skin test.
  3. Requires Motor Vehicle Report verification.
  4. COVID-19 and Influenza (flu) vaccines preferred.

  1. Customer service experience skills and abilities necessary to work and communicate with diverse frail and/or elderly populations employees visitors families and the general public with the ability to assist people who are in crisis or under extreme stress.
  2. Strong verbal and written communication abilities; able to convey information clearly and professionally to staff participants families and external partners.
  3. Builds positive relationships with diverse populations including aging and dependent adults families caregivers staff and community stakeholders.
  4. Works effectively as part of a multidisciplinary team demonstrating sound listening skills to receive directions and understand participant concerns; maintains a cooperative and supportive attitude.
  5. Applies good judgement resourcefulness and flexibility to resolve issues and adapt to changing circumstances.
  6. Maintains confidentiality reliability and ethical standards; consistently demonstrates punctuality attendance and responsibility in work performance.
  7. Maintains participant privacy and organizational confidentiality adhering to HIPAA and agency standards.
  8. Remains calm and effective when priorities shift deadlines change and unexpected issues arise.
  9. Ability to collect data identify pertinent information and prepare reports and presentations.
  10. Highly organized and able to multi-task with the ability to work independently and with minimal supervision.
  11. Proficiency in Microsoft Word Excel PowerPoint Outlook and relevant computer programs and software (e.g. electronic health record software). Basic knowledge of web-based applications such as timekeeping and training programs.

PHYSICAL REQUIREMENTS:

  1. The Home Care Scheduler primarily works in an office environment with frequent use of a computer telephone and other standard office equipment. The position requires the ability to sit for extended periods perform repetitive hand and wrist motions and maintain focus while managing multiple tasks. Occasional standing walking bending or reaching may be necessary to complete office-related duties. The role also involves frequent communication - both in person and over the phone - requiring clear verbal and written skills. Light lifting of up to 20 pounds may be required on occasion.
