About the Role
The Lead Ambulatory Care Technician Certified position is a team member who facilitates patient care activities to ensure continuity of care and adherence to the patient treatment plan. Under the direction and oversight of the Clinic Nurse Manager and the Clinical Care Coordinator of Medicine the Lead ACT will ensure that patient and clinic flow have optimal operations. The Lead ACT supports all Academic Internal Medicine Clinic (AIMC) team members by providing coaching and serving as a resource when needed.
Responsibilities
What Youll Do
- Works collaboratively with faculty and staff to maintain a timely and organized flow of patients and visitors throughout their experience in Ambulatory Care Services and with University Hospital.
- Prepares patients for visits including interviewing and screening patients for designated criteria to include but not limited to medical surgical gynecological and obstetric history medication history chief complaint vital signs pain and height and weight.
- Documents all patient encounters in the electronic medical record.
- Knowledgeable of and then notifies the provider of abnormal vital signs immediately during the patient visit.
- Reviews AIMC schedules routinely to ensure continuity of care and access for scheduling.
- Assists AIMC team with completing reminder appointment calls and pre-screening prior to visits. Ensures accurate patient information is collected. Obtains and enters patient history chief complaint and update the medication list into the electronic medical record.
- Ensures insurance carrier documentation requirements are met and authorization/referral documentation is scanned and documented in patients EMR.
- Engages with patients and the care team to ensure patients are scheduled for annual wellness visits and health maintenance appointments per providers instructions and guidelines.
- Provides outreach to patients in need of visits based on recovery plan gaps. Assists with the coordination and follow up on missed appointments lost to care calls and high-risk referrals.
- Assists the Clinic Nurse Manager in orientation of new ACTs.
- Assists management with daily assignments by preparing team assignments for Clinical Manager review to ensure adequate coverage for sessions. This also includes contingency planning for staff absences or emergencies. Communicates staffing concerns to the Clinic Nurse Manager or Administrative Director.
Qualifications
What Youll Bring
Required:
- Graduation from of a post-secondary medical assisting education program accredited by The Commission on Accreditation of Allied Health Education (CAAHEP) as recognized by the U.S. Department of Education required or applicants may be licensed in the State of New Jersey in another classification such as LPN permitted by regulations to give intramuscular and subcutaneous injections or a third-year nursing student.
- Must have attained a satisfactory level of comprehension and experience in the administration of intramuscular and subcutaneous techniques.
- Must complete and pass annual review of medication administration including classroom curriculum hands on participation and successful passing (80 or higher) of post-test.
- At least one (1) year of related experience in a medical office setting required.
- Experience in an Ambulatory Care service/outpatient care setting preferred.
- Current certification from the Certifying Board of the American Association of Medical Assistants (AAMA) or the National Center for Competency Testing (NCCT) National Healthcare Association (NHA) American Medical Certification Association (AMCA) National Association for Health Professionals (NAHP) National Certification Medical association (NCMA) or registration from the American Medical Technologists (AMT)
- CPR
Preferred:
- At least one (1) year of related experience in a medical office setting preferred.
- Bilingual (Spanish Portuguese or French) preferred.
- Experience in an Ambulatory Care service/outpatient care setting preferred.
- Candidate to be knowledgeable in Managed Care and Health Insurance in the State of New Jersey.

Compensation
In compliance with New Jerseys Pay Transparency Act the salary range for this position is TT/1800: Probationary Rate $26.36 - Job Rate $26.86- Two (2) Year Rate $27.66per hourUniversity Hospital considers multiple factors when determining compensation including (but not limited to) the scope and responsibilities of the position the candidates relevant work experience education and training key skills internal equity market data and organizational needs.
