Job Summary

For Linklaters Global Solutions Warsaw we are currently recruiting for the People Services Team Lead to our team supporting employees located in Warsaw.

Work arrangements:

Hybrid model work: 2 days per week from the office located next to Rondo ONZ

Contract: Employment contract with 3- month probation period

Working hours: The HR People Services team typically works standard hours from 9:00 to 17:15.


About the Team

You will join Linklaters Global Solutions (LGS) as part of the People function supporting the firms Warsaw office and contributing to the efficient delivery of core HR services for the Polish market.

The HR People Services (HRPS) team in Warsaw is responsible for delivering day to day operational HR support across the full employee lifecycle including HR administration data and systems management reporting and close cooperation with payroll and benefits. The team acts as a first point of contact for HR queries ensures compliance with Polish employment law and firmwide policies and supports process improvement annual HR cycles and the implementation of best practice in systems.

As People Services Team Lead you will manage and develop the local HRPS team ensuring high quality efficient and consistent service delivery. You will oversee end to end HR operations for Warsaw acting as a key point of contact for HR processes and service delivery and driving a culture of continuous improvement within the team.

As People Services Team Lead you will:

  • Lead and manage the HR People Services (HRPS) team supporting the Warsaw office ensuring high quality HR service delivery in line with agreed service level agreements (SLAs).

  • Provide guidance on complex HR service matters applying Polish employment law firm policies and best practice within a global context and act as an escalation point where needed.

  • Take responsibility for HR processes and administration within the HRPS LGS scope for Poland and the Warsaw office overseeing business-as-usual HR activities and end-to-end HR operations.

  • Manage team performance including setting clear objectives holding regular one-to-ones overseeing recruitment training and absence management and allocating and coordinating tasks to ensure clear ownership and balanced workloads.

  • Lead by example actively participating as a team member and providing hands-on support with operational tasks when necessary.

  • Foster a culture of exceptional customer service continuous learning and professional development within the HRPS team.

  • Oversee resource planning workload allocation and capability development to optimise team performance and future potential.

  • Monitor compliance with Polish employment law regulatory requirements and firmwide HR policies ensuring HR systems and processes reflect best practice.

  • Map and review HR People Services processes for the Warsaw office identifying opportunities to streamline workflows eliminate inefficiencies and drive continuous improvement across processes documentation and ways of working.

  • Champion standardisation and process improvement maximising automation and system capabilities to deliver measurable return on investment (ROI).

  • Use dashboard reporting and analytics to monitor team performance track SLA delivery and identify opportunities to improve efficiency and effectiveness.

  • Support the design implementation and embedding of HR best practice including those related to the Workday system and other HR technologies acting as a key contact for Workday within the HRPS team and promoting adoption of new features and functionalities.

  • Build strong relationships with HR Centres of Excellence the HR Management Systems team the local payroll team promoting open feedback collaboration and accurate timely payroll outcomes.

  • Represent HRPS on firmwide projects and global HR initiatives ensuring HRPS priorities and requirements are effectively communicated and embedded.

  • Lead and contribute to HR initiatives including annual reviews lifecycle processes and occupational health referrals.

Apply if you:

  • Have 2-3 years of experience leading an HR administration/ generalist team supporting the Polish market within a complex organization.

  • Are skilled at leading motivating and inspiring team influencing change and fostering a culture of continuous improvement and high performance.

  • Bring broad generalist HR experience and can balance operational delivery with strategic priorities.

  • Demonstrate strong technical knowledge of core Polish HR practices processes and documentation throughout the employee lifecycle.

  • Possess in-depth understanding of Polish employment law and can confidently apply legislation in practice including adapting and localizing firm policies in line with changing regulatory guidance in close collaboration with local HR Managers.

  • Have a proven track record of driving and embedding continuous process improvements within HR service delivery including simplifying workflows standardizing ways of working and identifying opportunities for automation.

  • Are comfortable working with HR systems and data with strong hands-on experience using Workday HR modules (in particular HR data management and reporting) and experience using case allocation or case management tools (e.g. Workday Help ServiceNow Neocase or similar) to enhance service efficiency.

  • Communicate clearly and confidently in Polish & English with the ability to influence coach and build trust with stakeholders at all levels and to manage challenging conversations effectively.

  • Demonstrate excellent attention to detail ensuring accuracy and consistency across high-volume HR processes documentation and reporting.

  • Collaborate effectively across geographies functions and stakeholder groups ideally with experience gained in an HR shared services environment and preferably in a professional services setting.

  • Are highly organised able to prioritise effectively manage competing demands.

  • Hold an HR qualification (desirable) and/or university degree (preferred).
