Job Summary

This is a remote position.

Virtual Rockstar is hiring a full-time Compliance Coordinator on behalf of our client a well-established outpatient physical therapy practice located in Philadelphia. This role is critical to ensuring clinical regulatory and operational compliance across the organization while supporting therapists and leadership with training documentation standards audits and safety oversight.

This position is ideal for someone with a strong understanding of U.S. healthcare compliance and physical therapy operations who enjoys structure documentation education and follow-throughand who can proactively manage compliance requirements before issues arise.

Responsibilities

Clinical & Regulatory Compliance

  • Ensure Direct Access patients are converted appropriately to physician referrals in accordance with state and payer requirements.

  • Spearhead all insurance audit preparation and response including audits from Medicare IBX and other payers.

  • Serve as the primary compliance resource for regulatory inquiries and documentation standards.

  • Act as liaison to BCMS and other external compliance-related entities as needed.

Documentation Standards & Staff Education

  • Educate physical therapists and staff on clinically compliant documentation standards including:

    • Initial Evaluations (IEs)

    • Re-Evaluations (REVs)

    • Discharge documentation

  • Develop and deliver best-practice documentation guidance to ensure consistency accuracy and audit readiness.

  • Serve as a compliance trainer and ongoing resource for documentation questions and updates.

HIPAA OSHA & Workplace Safety

  • Coordinate and conduct annual HIPAA compliance training for all staff.

  • Serve as the OSHA and workplace safety coordinator ensuring required policies documentation and training are up to date.

  • Track and manage safety-related compliance requirements and corrective actions.

Licensing & Credential Tracking

  • Track physical therapy licenses and renewals ensuring all required licenses and documentation are current and on file.

  • Maintain organized records and proactively follow up on upcoming expirations or missing items.

Incident & Risk Management

  • Manage incident reports including documentation tracking follow-up and escalation as needed.

  • Ensure incidents are logged accurately and reviewed in accordance with internal and regulatory requirements.

Policies SOPs & Continuous Improvement

  • Maintain and update compliance-related documentation policies and standard operating procedures.

  • Identify gaps or risks in current processes and recommend improvements to strengthen compliance and patient safety.

  • Support leadership with compliance reporting audits and readiness initiatives.

Tools & Systems

The Compliance Coordinator will work within systems such as:

  • Google Workspace (Gmail Drive Docs Sheets)

  • Egnyte (document storage)

  • RingCentral (communication)

  • Bitdefender VPN

  • Internal compliance tracking tools and documentation systems



Requirements

  • Strong understanding of U.S. healthcare compliance preferably within outpatient physical therapy or rehabilitation settings.

  • Experience with insurance audits regulatory requirements and documentation standards.

  • Familiarity with Direct Access laws Medicare guidelines and commercial payer expectations.

  • Proven ability to educate and train clinicians on compliance and documentation best practices.

  • Highly organized with strong attention to detail and follow-through.

  • Confident communicator capable of working with therapists leadership and external entities.

  • Comfortable managing multiple compliance workflows simultaneously.

  • Ability to work independently and proactively in a remote environment.

Required Skills:

Previous experience in a medical administrative role (medical assistant medical receptionist or similar) is preferred. Familiarity with WebPT EMR and Therabill for patient payment posting is a plus. Strong communication skills both written and verbal. Ability to manage multiple tasks and prioritize effectively. Excellent organizational skills and attention to detail. High level of professionalism and commitment to maintaining patient confidentiality. Comfortable with remote work and proficient in using virtual communication tools. Knowledge of insurance verification and pre-authorizations is a plus. Ability to work collaboratively with a team and contribute to a positive patient experience.
