UW MEDICINES AMBULATORY EXECUTIVE OFFICE has an outstanding opportunity for a full-time EXECUTIVE ASSISTANT TO THE CHIEF AMBULATORY OFFICER

POSITION HIGHLIGHTS
This role independently ensures smooth department operations through highly confidential and professional executive support necessitating a high degree of tact discretion and diplomacy

PRIMARY JOB RESPONSIBILITIES

  • The Executive Assistant will independently plan coordinate and implement policies and procedures to support the Chief Ambulatory Officer (CAO) so that all regulatory requirements are met
  • Acts as a communication liaison with UW Medicine leadership and community leaders as needed
  • Communication and Liaison with various stakeholders ensuring clear conveyance of the CAOs messages and managing feedback appropriately
  • Operate independently make decisions and take actions with delegated authority to support high-level executives including the CAO
  • Managing time-sensitive communications which requires the ability to quickly and accurately convey information to various audiences
  • Meeting the demands of competing stakeholders each with unique needs and expectations
  • This role requires outstanding writing abilities and the ability to communicate verbally with senior leaders staff and the general public
  • Records composes and edits minutes of meetings as requested
  • Independently managing both short-term tasks and long-term projects
  • Handling highly confidential and sensitive information with the utmost discretion and professionalism
  • Serves as a confidential liaison to the Chief Ambulatory Officer and manages the executive calendar and coordinates day-to-day activities of the Chief Ambulatory Office
  • Independently arranges and coordinates committee meetings special events open forums and other hospital activities
  • Schedules appropriate accommodation orders/operates equipment and coordinates logistical activities as needed
  • Utilizing various software and tools for document preparation calendar management and communication


REQUIRED:

  • Bachelors Degree in Business Administration Communications Healthcare Administration or related degree
  • 5 years experience supporting a C level executive.
  • Equivalent experience may substitute for degree requirement
