Job Summary

AMSANT is the peak body for Aboriginal community controlled health services in the Northern Territory and advocates for equity in health focusing on supporting the provision of high quality comprehensive primary health care services for Aboriginal communities.

Contract Type: Full-Time 38 hours/week

Contract Duration: Fixed Term to 19 October 2026 (maternity leave coverage)

Work hours: Monday-Friday 08:00am 04:30pm

Salary: $94306.27 $105684.68 p.a plus superannuation

About the role:

This position provides high-level professional and confidential administrative support to the deputy chief executive officer (DCEO) and the chief executive officer (CEO) and reports to the DCEO. The position liaises with internal and external stakeholders including senior staff directors members and members of the public. The position ensures the DCEO and CEO are prepared and informed on relevant matters in a timely manner. This includes researching preparing and ensuring responses to telephone calls and correspondence are responded to within specified timeframes and proactively managing the DCEO and CEOs diaries.

In providing this support the position exercises a high degree of communication competence initiative discretion and confidentiality. The position collaborates with and provides leadership to all administrative officers and staff to provide high-level support to the DCEO and CEO.

Responsibilities

  • Provide professional and confidential assistance to the DCEO and CEO.
  • Maintain and coordinate the DCEO and CEOs meetings calendar and filing system ensuring competing demands are effectively managed.
  • Act as secretariat to meetings with senior managers and staff and assist with logistics for directors meetings.
  • Coordinate key documents for execution such as grant agreements and contracts.
  • Assist with planning major corporation events such as AGMs annual conferences and directors meetings.
  • Provide administration support and assistance to other staff as required and agreed with the DCEO.
  • Co-ordinate relevant staff responses and/or input into projects programs reports correspondence.
  • Support the DCEO and CEO by proactively responding to enquiries from directors stakeholders staff and other clients with a high level of discretion confidentiality and judgement.
  • Prepare agendas and minutes of various internal and external meetings convened or attended by the DCEO and CEO (or other agreed meetings).
  • Organise all travel for the DCEO and CEO.
  • Other duties as directed.

SELECTION CRITERIA (QUALIFICATIONS AND ATTRIBUTES)

Essential

  • Ability to communicate well with a wide range of people across the corporation Aboriginal community controlled organisations and government ministers agencies and departments.
  • Working knowledge of all IT office systems and an ability to work with general office communication applications such as emails Teams and internet.
  • Demonstrated experience in administrative and clerical procedures and systems such as minute taking word processing organising meetings and preparation and distributing agendas managing files and records preparing list in excel designing forms and other office procedures and terminology.
  • Excellent time management communication and organisational skills.
  • An understanding of the community controlled health sector.
  • Basic knowledge of business and management principles involved in strategic planning resource allocation human resources and coordination of people and resources.
  • Applicants must have an ochre card and a current police check or the ability to obtain these prior to commencement.
  • Applicants must be able and willing to undertake travel throughout the Northern Territory and possess a C class drivers licence.

Desirable

  • Experience working in an Aboriginal community controlled organisation.
  • Qualifications in administration and minute taking.
