Job Summary
What success looks like in this role:
Core Responsibilities
Billing Operations Management
- Oversee end-to-end billing processes to ensure accuracy timeliness and compliance with company policies.
- Maintain billing schedules and ensure invoices are generated and sent promptly.
Credit Management
- Review and approve credit requests in line with company guidelines.
- Monitor credit balances and ensure proper documentation for credit issuance.
- Investigate and resolve credit discrepancies or disputes.
Rebilling Oversight
- Manage rebill requests due to pricing errors scope changes or client adjustments.
- Ensure rebills are processed accurately and communicated to clients.
- Track and report rebill volumes and reasons for continuous improvement.
Project Billing
- Coordinate with project managers to ensure accurate billing based on project milestones deliverables or time and materials.
- Validate project budgets and billing terms against contracts.
- Monitor Work-in-Progress (WIP) and ensure timely conversion to billable invoices.
Compliance & Controls
- Ensure adherence to internal controls audit requirements and regulatory standards.
- Maintain accurate records for credits rebills and project billing for audit readiness.
Client Communication
- Act as a point of contact for billing inquiries credit disputes and rebill clarifications.
- Provide clear and timely communication to clients regarding billing adjustments.
Reporting & Analysis
- Prepare monthly/quarterly reports on billing performance credits issued and rebill trends.
- Analyze billing data to identify patterns reduce errors and improve efficiency.
Team Leadership
- Supervise billing staff provide training on credit and rebill processes.
- Set performance goals and ensure team meets service-level agreements (SLAs).
System & Process Improvement
- Work with IT/Finance to optimize billing systems for handling credits and rebills.
- Implement automation and best practices to reduce manual errors.
