Position Summary: Under direct supervision the Scheduler/Receptionist is the first point of contact for I-CARE Clinic guests. The Scheduler/Receptionist is responsible for scheduling new and established patients providing callbacks and rescheduling as needed handling incoming calls greeting visitors granting access to the property responding to inquiries from the public assisting in data collection and data entry providing information about the organization and exercising a high level of customer service to our participants/patients staff and visitors. The Scheduler/Receptionist contributes to the security of the organization by helping monitor visitor access and ensuring that all visitors log in to the appropriate manuals. This position requires excellent customer service skills and strong computer literacy. The successful candidate will be comfortable interacting with a diverse range of individuals including those with mental health and substance use challenges. Ability to converse with patients/visitors in Spanish preferred. No smoking workplace. Mon-Fri 8am-5pm work shift
Essential Duties and Responsibilities include the following. Other duties may be assigned.
- Schedule and reschedule new patients and follow up appointments
- Provide reminder calls for upcoming appointments and contact patients who miss appointments to reschedule
- Interview/screen new patients via phone prior to scheduling appointment
- Verify and establish patient insurance/health coverage as applicable and ensure all required patient data is collected and accurate prior to appointment
- Send new patient letters and packets via mail/electronic means
- Welcome guests to the clinic and answer any questions they may have
- Ensure outside visitors and vendors sign the confidentiality log
- Grant access to the property in accordance with Santa Maria Hostels procedures.
- Answer incoming telephone calls assist callers provide information about Santa Maria/ I-CARE Clinic and route calls to appropriate staff.
- Maintain a safe environment by monitoring security systems and emergency systems.
- Provide timely referrals to staff of appointments or other assistance.
- Assist in sending out patient referrals and orders as needed
- Maintain a professional and personable demeanor while working with clinic guests in a non-judgmental way.
- Notify appropriate supervisor and/or manager of any critical incidents or emergencies.
- Route incoming paperwork and mail to appropriate staff.
- Assist with data entry for reporting requirements including handling patient identifying data
- Assist Clinic Coordinator physicians and other staff with miscellaneous items
- Assist other departments with miscellaneous items.
- Observe and report safety concerns activities security breaches and incidents that occur at the site providing for the security and safety of client property and personnel.
- Preserves order and may act to enforce regulations and directives in accordance with Santa Maria Hostels policies.
- Other duties as assigned
Education/Experience:
High school diploma or general education degree (GED); at least six months direct related experience in and/or training clinical aspects of the job; or equivalent combination of education and experience. Previous experience working in a clinic/healthcare environment is strongly preferred. Annual completion of required training.
Certificates and Licenses:
Current CPR and infant CPR certification first aid and PIAB training required; Valid Texas Drivers License.
