This isnt just a job its your opportunity to make a meaningful impact behind the scenes.About the RoleThe Revenue and Billing Clerk is responsible for ensuring the accuracy completeness and integrity of childcare fee billing and revenue collection across Umbrella Family programs. This role supports the Finance team through detailed account analysis reconciliation of outstanding balances and administration of parent fee subsidies.The successful candidate will play a lead role in tracking billing and reconciling subsidies while collaborating closely with Site Supervisors the Programs Team and the City of Hamilton. This position requires strong attention to detail sound judgment and the ability to manage competing priorities in a fast-paced office environment.Total Hours: 37.5 hours per weekSchedule: Monday to Friday day shift
Annual Salary: $48000$50000QualificationsEducation & Experience- College diploma in Accounting Business Administration or a related field
- 13 years of accounting billing or financial administration experience
- Experience with accounting processes and financial software is an asset
- Experience with childcare management software is an asset
Knowledge & Skills- Strong working knowledge of Microsoft Office (Excel Word Outlook required)
- Experience with municipal and/or provincial funding is a strong asset
- Knowledge of applicable legislation and regulations
- Strong analytical problem-solving and decision-making skills
- Excellent written and verbal communication skills
- Ability to work independently and collaboratively within a team
- Demonstrated ability to manage confidential and sensitive information with discretion
Key Responsibilities- Coordinate childcare enrollments and withdrawals ensuring accurate billing setup notice periods and communication with families
- Maintain accurate child billing accounts including rate calculations payment methods and registration charges
- Lead the administration billing and reconciliation of Parent Fee Subsidy contracts with the City of Hamilton
- Support subsidy renewals and ensure timely and accurate monthly billing
- Coordinate camp and school break program invoicing with the Programs Team
- Assist with the collection of outstanding accounts including follow-up with families regarding unpaid balances
- Review reports for enrollment and billing variances and follow up as required
- Input and maintain accurate data within childcare management systems
- Ensure compliance with legislation organizational policies privacy requirements and risk management practices
- Communicate regularly with supervisors managers families and external stakeholders
- Participate in staff meetings performance evaluations and professional development opportunities
- Provide backup support to Reception and Office Clerk functions as required
Certifications & Requirements- Satisfactory Vulnerable Sector Police Check
- Ability to work in an office environment with regular computer and system use
