DescriptionJob Summary
The IT Asset Administrator manages the day-to-day and long-term tracking of DTS technology assets including hardware and software. This role ensures accurate inventory licensing compliance and cost-effective procurement while supporting data security and lifecycle planning across the organization.
Duties/Responsibilities
Asset and Inventory Management
- Track document and manage the full lifecycle of IT hardware and software assets.
- Conduct annual campus-wide asset audits and maintain accurate inventory records.
- Receive tag record and track assets in the asset management system.
- Maintain warranty service and lifecycle documentation.
- Facilitate returns exchanges and manufacturer buy-back programs when applicable.
Vendor Procurement and Financial Support
- Research and recommend cost-effective technology solutions.
- Maintain relationships with vendors and obtain competitive quotes.
- Assist with procurement by securing approvals submitting purchase requisitions and reconciling receipts.
- Track IT project expenditures and support budget management efforts.
Reporting and Planning
- Prepare reports on asset lifecycle status warranty trends and replacement planning.
- Produce annual reports for faculty and staff technology lifecycle maintenance.
- Report on technology purchases made outside of the IT budget.
- Collaborate with departments IT and HR to anticipate technology needs based on role and job function.
Software Licensing and Compliance
- Maintain records of all DTS-owned software licenses.
- Monitor and support software licensing compliance across all DTS campuses.
- Research licensing requirements and identify compliant cost-effective purchasing options.
- Report licensing compliance issues to IT management
Data Security and Safety
- Ensure protection of personally identifiable information (PII) through secure data removal and destruction processes.
- Oversee shredding or destruction of hard drives and data storage devices from retired equipment.
- Support IT compliance initiatives including PCI compliance when applicable.
Additional IT Support Duties
- Create and manage IT work orders related to asset lifecycle and provisioning.
- Support efficient IT office operations and administrative functions.
- Coordinate travel arrangements for IT-related events and support activities.
- Order IT department office and kitchen supplies.
- Support initiatives to move toward a paperless IT environment.
- Perform other duties as assigned.

Strong analytical and problem-solving abilities.
Ability to prioritize tasks and delegate appropriately.
