JOB SUMMARY
The Procurement Officer is responsible for managing the hotels purchasing activities to ensure that all goods and services are procured at the best possible quality cost and delivery timelines. This role supports a 5star hospitality environment requiring high attention to detail excellent supplier management and strict adherence to compliance and brand standards. The incumbent must be highly self-managed proactive and able to operate with minimal supervision while maintaining strong internal controls and exceptional service delivery to internal stakeholders through well established procedures in ordering receiving storing distributing and vendor management.


CANDIDATE PROFILE

Qualifications & Experience
Diploma or degree in Supply Chain Procurement Commerce or related field (advantageous).
Minimum 35 years experience in procurement within the hospitality sector ideally in a luxury or 5 star hotel environment.
Proven track record of managing suppliers and procurement cycles independently.
Knowledge of South African procurement regulations B BBEE requirements and local supplier market.
Experience with perishable and non-perishable goods procurement highly beneficial.

CRITICAL WORK ACTIVITIES

Procurement Operations
Source evaluate and negotiate with suppliers for goods and services across all hotel departments (Kitchen Housekeeping F&B Maintenance Spa etc.).
Maintain accurate and up-to-date purchase records price lists and supplier databases.
Ensure all purchases comply with hotel brand standards hygiene and safety requirements and local regulations and stocks are at the required PAR levels.
Coordinate and manage the full procurement cycle from requisition to purchase order to delivery and payment follow up.

Supplier & Contract Management
Build and maintain strong supplier relationships to ensure reliable and consistent supply.
Evaluate supplier performance on quality pricing delivery and service.
Review and negotiate contracts to optimize value and mitigate risk.
Ensure all contracts are up to date and in compliance with Marriott policies.
Conduct regular market research to identify new suppliers products and cost-saving opportunities.
Verify and review supplier premises for adequacy and compliance.

Financial & Compliance
Ensure procurement activities align with the hotels financial controls budgets and audit requirements.
Assist in monthly cost reviews and reporting on procurement KPIs.
Identify and implement cost containment initiatives without compromising service quality.
Collaborate with Finance to ensure accurate coding invoice matching and timely payment processing.
Submits reports in a timely manner ensuring delivery deadlines.

Operational Support
Work closely with Executive Chef Food and Beverage Manager Executive Housekeeper Engineering and other HODs to understand and respond to operational needs.
Ensure timely delivery of orders and resolve supply issues promptly.
Oversee proper receiving processes and coordinate with the stores team to maintain correct stock levels.

Additional Responsibilities
Analyzes information and evaluates results to choose the best solution and solve problems.
Attends and participates in all pertinent meetings.
Provide direction and assistance to other organizational units regarding accounting and budgeting policies and procedures and efficient control and utilization of financial resources.
Informs and/or updates the executives the peers and the subordinates on relevant information in a timely manner.
Any other duties as requested by management
