POSITIONSUMMARY

As ourManagementAssistant you will play a key role in ensuring the smooth day-to-day operations of our leadership and teams. You will work closely with teams by providing reliable organizational and administrative support whiledemonstratingownership professionalism and attention to detail. Beyondmanagementsupport youmaycontribute to team coordinationandotheroperational processesfor our EMESA team. This position istemporary (12 months).

BASIC JOB RESPONSIBILITIES

  • Forward-lookingmanagement ofcalendarsfor the assigned Managing DirectorsorDirectorswith an overall understanding of business priorities.
  • Planning and scheduling in-personandvirtual meetings considering different timezones;proactively following up onrequests and rescheduling in case of calendar conflicts
  • Arrangingbusiness trips;anticipatingand coordinating point-to-point travel and logistical needs including but not limited to directions commuting time and ground transportation passport visadocuments and expense management
  • Communicating with clients other external guestswitha high levelof professionalism and inafriendly mannerwhilerepresentingthe Managing Director the broader leadershipteamandBrightHouse
  • Maintaining client confidence and protecting operations by keeping information confidential
  • Support the directors and their teams with planning team activitiessuchas events and project sessions while applying existing and evolving company policies
  • Support the project teams with project-related tasks such as printing organizing workshop material
  • Leverage GenAI and other AI-enabled tools to support administrative processes improve efficiency and enhance the quality and speed of team support
  • As part of the Business Services Team responding to a variety ofoverarchinginquiries
  • Other activities include but are not limited to basic document formatting (MS Word Excel PowerPoint) filing day-to-day administrativetasksand operations

DESIREDQUALIFICATIONS

  • University degree or equivalent apprenticeship
  • Relevant experienceas anexperiencedAssistantor comparable positiongained in a professional-services or multi-national company
  • Fluent/ Business Englischlanguage skills(written and spoken) Germanis a plus
  • Proficiencyin MS Office (Word Excel PowerPoint and Outlook)
  • Valid work permit in Berlin
