Job Summary

Essential Functions

  • Manage Camper Services
    • Preparation of camp operational data and maintain accurate documentation.
    • Handle and safeguards sensitive camper data and related documentation in compliance with privacy standards.
    • Serve as liaison between the camp departments Call Center and Scholarship coordinators.
    • Monitor and respond to customer service inquiries during camp sessions and post-camp.
    • Collaborate with camp operations camp customer service and other USSRC departments to ensure timely accurate and complete responses.
    • Assist with communications regarding incomplete forms and other registration-related matters two weeks before camp as needed to support the registration process.
    • Coordinate parent communications through broadcasted updates and collaborate with the Media team to support social media channel updates.
    • Coordinate transportation details for campers including airport transportation lists flight information and bus schedules for school and travel groups during fall winter and spring camp seasons and support the seasonal Airport Supervisor during the peak summer season.
  • Strategic Planning
    • Track and analyze camper and parent evaluations.
    • Update and monitor Key Performance Indicators (KPIs) identify trends and assist in developing mitigation strategies.
    • Support the development and implementation of strategies to attract new campers and retain returning campers.
  • Support the Camp Director(s) with day-to-day operations and delegate tasks as needed.
  • Assist Camp Managers in planning and coordinating daily and weekly activities and schedules including verifying staffing levels tracking staff call-outs and confirming camper meal arrangements and room availability.
  • Coordinate staff paperwork (e.g. voluntary disclosures driver forms) and ensure all required forms and certifications are completed and on file.
  • Post welcome messages and manage digital signage in camp areas
  • Assist with the recruitment and hiring of seasonal camp staff including collecting and organizing applications and scheduling interviews.
  • Represent the camp at recruitment events and camp fairs as requested.

QUALIFICATIONS

Required Education

Preferred Degrees: Bachelors degree in Recreation Management Education Non-Profit Management or Business Administration.

Required Experience

  • Administrative/Office Management: 13 years of experience in an office setting. This includes proficiency in Microsoft Office Suite and experience with database management.
  • Preferred experience with camp registration software such as Circuitree.
  • Camp Experience: At least 23 seasons of boots-on-the-ground experience as a counselor or camp leadership. Understanding the daily rhythm of camp life is essential for making realistic administrative decisions.
  • Customer Service: Demonstrated experience in a public-facing role is essential as the administrator serves as the primary point of contact for parents staff and internal stakeholders to ensure smooth and effective camp operations.

OTHER REQUIREMENTS

Physical Requirements

  • Sitting for long periods (6-8 hours) at the desk operating the computer terminal and reviewing reports.
  • Walking and climbing (stairs) to access other departments.
  • Carrying and lifting items such as boxes and supplies weighing up to 30 pounds to waist height.
  • Sight reading feeling and wrist movements to operate computer terminals write documents review reports and operate calculators.
  • Talking and hearing to instruct employees and assist guests and contractors in person and over the telephone.
  • This position may deal with guests contractors vendors and employees at all levels of the organization.

  • Must be authorized to work in the United States.

WORK ENVIRONMENT

Environmental Factors

  • This position involves working in a climate-controlled office environment.
  • This position works in a confined area with other employees.
  • This position works with Camp Operations and will spend time out of doors in all kinds of weather.

Expected Hours of Work

  • Monday through Friday 9 a.m. to 5 p.m.
