Job Summary

PURPOSE AND SCOPE:

Under the supervision of the principal this is a person of faith who strives to achieve the goals of Catholic education assumes responsibility for the front office management maintains detailed and accurate records as required by the school and establishes positive school-community relationships.

PERFORMANCE RESPONSIBILITIES AND ESSENTIAL JOB FUNCTIONS:

Strives to achieve the goals of Catholic education:

  • Embraces the Catholic philosophy of education
  • Promotes and lives gospel values and Catholic moral teaching
  • Upholds the doctrinal teachings of the Catholic Church

Establishes positive school-community relationships by:

  • Maintaining cooperative relations with all in the school community
  • Promoting respectful and positive school relationships

Duties include but are not limited to the following:

  • Assist in the front office and provides general secretarial support
    • Greet parents and visitors
    • Answer phones and professionally and courteously answers questions
    • Monitor outside access to the campus including deliveries
    • Record daily attendance in the digital management system and work with parents to reconcile any issues or confirm excused absences
    • Ensure accurate attendance accounting resolving attendance related issues conveying attendance related information to appropriate parties and providing general clerical support information and/or direction as needed
    • Act as the school liaison for BOONLI Lunch Lady services (online ordering system)
    • Oversee the school calendar and acts as a liaison to the parish office to ensure coordination of events
    • Assist in ordering office supplies
    • Provide clerical support for administration faculty and staff
    • Make sure the school runs smoothly day to day
  • Substitute Teacher Coordination:
    • Maintain a pool of qualified substitute teachers
    • Coordinate substitute teacher placements based on teacher absences
    • Ensure adequate coverage for all classes
    • Provide necessary information about the daily schedule lesson plans and other relevant details
    • Provide new substitute teachers with information on school policies emergency procedures and classroom expectations
  • Communication and Collaboration:
    • Establish and maintain open communication with administrators faculty and staff
    • Notify teachers of substitute assignments
  • Record Keeping and Reporting:
    • Assist in maintaining accurate and up-to-date information in RenWeb
  • Emergency Preparedness:
    • Assist with school safety drills
    • Collaborate with school administration to develop and implement emergency protocols for substitute teachers

Performs any other job-related tasks deemed necessary and/or assigned by the Principal.

KNOWLEDGE SKILLS AND ABILITIES REQUIRED TO PERFORM ESSENTIAL JOB FUNCTIONS:

  • Use good judgment in daily encounters
  • Ability to work cooperatively and collaboratively with others
  • Familiarity with school policies procedures and curriculum
  • Ability to adapt to changing situations and solve problems effectively
  • Demonstrate proficiency in written and oral communication and active listening
  • Proficiency in Google Suite Microsoft 365 Flocknote and Canva
  • Must maintain appropriate grooming and dress at all times as stated in the faculty handbook

MINIMUM QUALIFICATIONS

  • Must be 21 years of age or older
  • Minimum of a high school degree required
  • Minimum of one year work experience in similar position preferred
  • Arizona Fingerprint Clearance Card (IVP)
  • Safe Environment Training
