POSITION TITLE: OFFICE ASSOCIATE I REPORTS TO: Alice Graham

JOB SUMMARY:
Performs responsible clerical work requiring a qualified typist; prepares and maintains fiscal and related records as requested; does related work as required. Work is performed under the regular supervision of the Adult Education Administrators.
ESSENTIAL DUTIES:
Office Duties: Works with other Office Associate staff members and Adult Education Administrators in preparing and maintaining all student information with the utmost confidentiality; serving as telephone operator and receptionist; assisting students staff and visitors as needed.
- Meets and screens visitors answers telephone and processes mail;
- Maintains manual and computer registers and student attendance reports;
- Registers students verifies data answers questions types schedules and prepares records;
- Prepares attendance records and student information for data entry;
- Types letters memos reports bulletins schedules student files and records;
- Processes and distributes mail;
- Sets up and maintains office filing systems;
- Assists with collection of any student fees;
- Posts attendance and student records to computer;
- Performs related tasks as required.
JOB SPECIFICATIONS/PHYSICAL REQUIREMENTS:
Knowledge of standard office practices procedures and equipment; some knowledge of school system routines and procedures; some knowledge of bookkeeping terminology methods and procedures; general knowledge of business English spelling and arithmetic; thorough knowledge of personnel and payroll procedures financial record keeping and banking procedures; ability to establish and maintain effective working relationships with others; ability to work under pressure; ability to organize and perform work independently; ability to type accurately and at a reasonable rate of speed; ability to meet the public effectively.
This is light work requiring the exertion of up to 20 pounds of force occasionally up to 10 pounds of force frequently and a negligible amount of force constantly to move objects; work requires stooping reaching standing pushing pulling lifting and fingering; vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; visual acuity is required for preparing and analyzing written or computer data and observing general surroundings and activities; the worker is not subject to adverse environmental conditions.
EDUCATION:
Candidates must have at least a high school diploma or its equivalent.
