Practice Manager (Legal Administrative Assistant)

The Opportunity
Our client refers to their legal assistants as Practice Managers reflecting the elevated level of responsibility ownership and involvement they have in the firms success. Practice Managers are deeply embedded in files and workflows supporting lawyers not only administratively but strategicallyhelping manage timelines coordinate transactions and ensure an exceptional client experience.
This role will support lawyers in a Corporate / Commercial and Real Estate practice working closely with legal and business teams to keep complex matters running smoothly. While the firm supports a hybrid work model some in-office presence will be required based on business needs.
Key Responsibilities
Legal & Transaction Support
- Drafting legal documents from precedents and client instructions
- Supporting business transactions and real estate closings
- Assisting with routine corporate transactions with paralegal support
- Conducting due diligence searches and preparing summaries
- Preparing forms and liaising with finance regarding trust transactions
- Coordinating signing appointments and closing logistics
- Preparing closing checklists packages and closing books
Administrative & Client Support
- Revising documents based on lawyer mark-ups
- Document formatting assembly scanning and filing
- Assisting with client intake and ongoing client requests
- Tracking outstanding deliverables signatures and deadlines
- Managing scheduling couriers and other day-to-day coordination
Practice & Team Support- Anticipating next steps and proactively supporting lawyers
- Helping ensure internal procedures are followed
- Creating and improving processes to streamline workflows
- Supporting marketing and business development initiatives
- Identifying and implementing technology to improve efficiency

Qualifications
- Completion of a Legal Administrative Assistant program
- 3 years of experience in corporate/commercial law (real estate experience is an asset)
- Practice management or paralegal training (or interest in pursuing it) is considered an asset
