Position: Case Manager

Job Summary:
Perform assigned tasks under the direction of a Supervisor or an Attorney include but not limited to the below described essential duties and any other tasks assigned by the supervisor or attorney related to the furtherance of the firms mission and vision.
These tasks and duties MUST be performed by prioritizing client satisfaction and firms integrity while abiding by the policies and procedures set by the managing attorney and following all set internal and external deadlines.
Maintain a safe and cordial work environment at all times while performing these duties in accordance with the firm standards.
Legal staff are prohibited by the ABAs rules of Professional Conduct and State Bar Association rules from practicing law. All work done by Case Mangers must be in support of and under the direct supervision of an dealing with clients Case Managers must be careful not to inadvertently slip into the unlawful practice of law. This would include answering client questions about what will happen in their case or recommending that a client undertake a certain course of action during their case.
ESSENTIAL DUTIES
INTAKE;
Discuss gather and review as much information and documents about an accident with the client in person or via telephone.
Insurance information from both sides including claim numbers policy limits and adjuster contact information
Police/Incident reports
Hospital and Ambulance information
Photos of everything related to the accident.
RETENTION;
Prepare and explain the retainer agreement for client to understand sign and send back to us so we can assign a file number to their case.
Open and Maintain Client Files Physically and electronically;
Upon engagement ensure PNC records are uploaded into appropriate Server and CMS locations
Input details and documents for the client in the CMS system under the assigned file number
Maintain constant communication with client and update their file at least monthly
Set client expectations and Firm expectations from the client
Update medical bills and records and note client injuries and life changes due to those injuries sustained from the incident
Input firm related costs in both physical and digital files
Determine the applicable SKU to be used in handling the case early on.
INVESTIGATION;
Open claims with client health and auto insurance and defendant auto
Send all necessary documentations related to representation to insurance companies and client
Ensure liability is clear
Obtain any possible security or dashcam camera footage
Gather witness information
Tracking down the defendant by using open-source methods
Submitting policy search (if no reasonable UM/UIM policy limits exist)
Resolve Property Damage as soon as practically possible by;
Scheduling vehicle inspection
Obtaining vehicle repair estimates/ACVs
Preparing submitting and negotiating LOU demand
Ensuring the client is refunded for out-of-pocket expenses such as rental and tow reimbursement.
Settling and closing PD claims within a max of 30 days.
TREATMENT;
Open Med-Pay Claims and demanding its tender within 60 days of DOL
Setup client with reasonable and necessary treatment on lien or with their health insurance providers
Maintain contact with providers and client regarding treatment
Obtain all medical records from all facilities where the client is treated
Coordinate referrals to further treatment and managing client records transfer for smooth experience for the clients between providers
Roundtable cases that need further treatment with Prelit team or attorney.
REQUIREMENTS:
Min. High School Diploma or equivalent
At least 2 years of experience in a similar role
Background check upon conditional offer.
