Position Summary
The Lead Vendor Management Coordinator is responsible for overseeing vendor management operations and leading the end-to-end vendor lifecycle including sourcing onboarding compliance performance management and relationship development. This role supervises vendor management activities maintains vendor data and dashboards and ensures vendor capacity quality and geographic coverage align with operational needs across multiple lines of business.
The Lead Vendor Management Coordinator serves as a key liaison between internal stakeholders and vendors supports strategic planning through performance insights and ensures consistent high-quality service delivery to both customers and vendor partners.
Key Duties and Responsibilities
- Lead and oversee vendor management operations including supervision of the vendor management team and execution of vendor lifecycle activities
- Own vendor sourcing interviewing onboarding compliance and performance management to ensure quality capacity and certification standards are met
- Manage and maintain vendor relationships through consistent communication business reviews and corrective action planning as needed
- Develop and maintain vendor databases and dashboards to support pricing visibility geographic coverage and operational decision-making across the U.S. and Canada
- Identify vendor needs capacity gaps and regional coverage requirements in support of Operations Special Projects and Facilities Maintenance
- Serve as the primary liaison between Estimating Line of Business Operators Business Development and vendors to support cost management and execution
- Communicate vendor performance availability and risk to leadership to support planning and strategic decisions
- Lead and facilitate vendor engagement initiatives including vendor education sessions and lunch-and-learn discussions to support alignment quality standards and performance expectations
- Work closely with Marketing to develop manage and maintain an approved vendor-facing social media and digital presence across platforms such as LinkedIn Facebook Twitter/X the DAVACO website and internal channels ensuring content aligns with company standards and supports vendor recruitment engagement and brand visibility
- Provide vendor management support to additional divisions as required and ensure a high level of service is delivered to both customers and vendors
- Perform other duties as assigned by management consistent with the scope and responsibilities of this role.
Qualifications
- Bachelors degree from an accredited college and/or three to four years of experience in a vendor management vendor supervision recruitment or related leadership role
- Experience in project management or construction-related environments preferred but not required
- Demonstrated experience supervising or leading vendor management recruitment or operational support teams
- Strong knowledge of vendor lifecycle management including sourcing onboarding compliance performance monitoring and relationship management
- Excellent organizational analytical and communication skills with the ability to manage multiple priorities and meet deadlines
- Proven ability to take ownership of assignments and drive work to completion with minimal oversight
- Strong customer service background with the ability to build and maintain effective working relationships with internal teams and external partners
- High attention to detail with a strong degree of accuracy in data documentation and reporting
- Ability to collaborate cross-functionally with Operations Estimating Business Development Marketing and leadership teams
Physical Requirements
- Ability to sit stand and work at a computer for extended periods of time
- Ability to communicate effectively via phone video conference and in person
- Ability to perform repetitive tasks including typing data entry and document review
- Ability to review analyze and manage digital and written documentation
- Ability to occasionally lift and carry items up to 25 pounds
- Ability to attend meetings trainings and vendor engagements as required
