Job Summary

Summary: Collaborate with and support the Project Team to oversee costs track expenses and create monthly addition support all field time entry and ensure all hours are billed accurately. Maintain financial integrity for the project and support the Project team with accurate cost data.

Essential Functions include but are not limited to the following:

Lead by Example:

  • Compile monthly billings to ensure timely and accurate submission with all proper documentation (certified payroll copies of invoices etc.)
  • Assist Management personnel with Change Order preparation keep an accurate Change Order Log and enter updated project budgets based on approved Change Orders
  • Compile Company Owned Equipment billing sheet to be included with monthly billing

Build Lifelong Partnerships:

  • Work with Accounting on all financial aspects of the project (i.e Accounts Payable Lien Waivers Billing entry into ComputerEase etc.)
  • Follow-up with Customers on Open Accounts Receivable
  • Ensure all lien waivers (internal vendors suppliers and subcontractors) are collected and submitted per the project specifications

Act with Integrity:

  • Issue Purchase Orders and issue Subcontracts per the Project Teams direction
  • Close out Purchase Orders and remove Committed Cost per the direction of the Project Team
  • Ensure vendor invoices match pricing from quotes or PO and are being applied to the proper Purchase Order Phase and Cost Code.

Put People First:

  • Demonstrate a positive attitude by collaborating with colleagues sharing ideas in meetings and taking initiative in company projects to actively contribute to our employee-owned culture.
  • Entry and reconciliation of Field Crew time for payroll and ensure time is being properly charged to the project. Foreman will be responsible for hours and coding of crews time.
  • Ensure all proper paperwork is current for all employees to work on the project (i.e. drug test equipment certifications badging background checks etc.)

Challenge the Ordinary:

  • Search for opportunities in areas that are atypical of our normal procedures and provide potential solutions or streamline approaches to save time and effort

Education and/or Work Experience Requirements:

  • 3 years experience in accounting or project administration preferably in the construction industry
  • Associate degree or some college courses in a closely related field or combination of education and relevant experience
  • Strong verbal and written communication skills
  • Must be well organized and able to work independently
  • Proficient in Microsoft Office Suite of products. Strong with Microsoft Excel.
  • Familiarity with ERP systems. Computer Ease experience is a plus but not required
