JOB OVERVIEW
The Southern Texas PGA is currently seeking to find our new Business & Office Administrator.
This position will support all aspects of the STPGA with five overarching responsibilities.
1. Customer Service Phone Management With over 10000 individuals annually making up what we call STPGA Nation we pride ourselves on high quality customer service when reaching out to the STPGA Home office. This position is often looked at as our first impression of the business and critical to achieving our goals.
2. Financial Business Duties From payroll support to invoicing to AP/AR to deposits to submitting credit card coding monthly and weekly tasks are outlined and performed by this position to ensure maximum business efficiency.
3. STPGA Junior Golf Program Support From managing the general junior golf email inbox to working with our Tournament BlueGolf software with parents to weekly communication with field staff to other assigned junior golf items with over 5000 juniors and 600 tournaments annually this positions administrative support is very important.
4. PGA Member Topics From weekly member reports to Professional Development credit submission to new member packets this position works closely with our PGA Members to provide the best service possible.
5. Administrative Business Duties From Executive Director and Board of Directors support to standard office management this role manages a lot of behind-the-scenes elements to keep us as a high performing organization.
JOB RESPONSIBILITIES
This list helps provide more specific responsibilities for the job that falls under the five pillars listed above.
Answering the STPGAs main telephone daily which requires talking with individuals such as PGA Members Junior Golf Families Business Parters etc. usually handling over 20 calls throughout one day.
Manage the reception area at the STPGA Home Office by greeting all visitors and guests and answering telephone calls and assisting customers with questions or inquiries.
Manage the staff kitchen copy machine office supplies and conference room.
Help organize and track Board of Directors travel and prep prior to Board Meetings throughout the year. Assist the Executive Director with planning and communication regarding local Board Meetings as well as PGA of America National Meetings.
Work with our Workday system to submit all company invoices help with payroll expense reports and credit card coding.
Work with Assistant Executive Director on sponsorship invoicing tracking and coding of payments throughout the year.
Collect and distribute the mail daily as well as coordinate office mailers and special shipments via FedEx and UPS. Communicate with team members when packages arrive and ensure they are stored correctly.
Manage our business relationship with our cleaning company business park HOA office security system internet provider and telephone services used at the STPGA Home Office.
Work with Executive Director on any office updates or items that need to be fixed throughout the 6000 sq foot office building.
Run weekly PGA Member reports and send to necessary staff and board members.
Assist with the administration of the STPGA Scholarship Program from a perspective of ensuring schools receive payment for students that have earned an STPGA Scholarship.
Work alongside our Senior Director of Membership on areas such as:
o Help manage the PGA Professional Development Program including the posting of PDR hours following events and meetings.
o Onboard new employees interns and area staff both in Workday as well as perform safety background checks.
Support the administration of the STPGA Caddie Program which includes mailing and printing caddie cards to over 1000 individuals over 1 year.
Provide executive administrative support to the Executive Director as needed.
WHAT ARE WE LOOKING FOR
Ideal candidates would have the following characteristics:
Highly detailed and self-organized. Can handle working on a variety of items and still hit necessary deadlines.
Great customer service both in person and over the phone and can deal with difficult questions and not get overwhelmed.
Ability to learn and master different systems on your computer from Workday to BlueGolf to Google Suite products to Word Excel etc.
Knowledge of golf terminology and the STPGA preferred but not required. However a major desire to learn all about STPGA Nation is critical.
Ability to work independently but also enjoys being around a team that is all working towards a command purpose.
Bachelors degree (B.A. /B.S.) in Business Administration Finance and/or background in office management preferred.
Maintain confidentiality of sensitive data.

COMPENSATION AND BENEFIT PACKAGE
This is a Non-Exempt Position with the following compensation package.
$20 - $24 per hour STPGA Office Hours are 8:30-5:00 Monday- Friday and this employee would receive an hour lunch break.
15 Days of PTO/Sick Days with the ability to carry over a maximum of 5 days annually
The STPGA has the following Paid Holidays for this position Good Friday Memorial Day July 4th Labor Day Thanksgiving and the day after.
Each year the Executive Director decides about the Holiday/New Year Break. This paid time off fluctuates between 1-2 weeks annually.
