Job Title: Events Office Administrator
Location: Philadelphia PA 19104
Shift Timings: Shift is between 9 a.m. - 5 p.m. EST.
Note: Fully Remote. Experience in timely data entry to support event preparation for executives and teams during large-scale events. Healthcare/Hospital exp not a requirement. Shift is between 9 a.m. - 5 p.m. EST. A maximum of 4 days a week for 6-8 hours a day given workflow within a given week. Experience in timely data entry to support event preparation for executives and teams during large-scale events. Healthcare/Hospital exp not a requirement.
Summary of Job:
Perform advanced administrative tasks including triage calls coordination and scheduling.

Key Responsibilities and Duties:
- Assist with complex patient services including scheduling appointments check outs sending documentation and contacting appropriate stakeholders.
- Respond to complex inquiries and assist stakeholders according to procedures.
- Manage records including charts files and correspondence according to procedures.
- Assist with the maintenance of systems procedures and methods for record keeping and reporting.
- Schedule and provide administrative support for meetings interviews committees conferences and calendars.
- Prepare presentations letters reports memoranda and related materials.
- Oversee office supplies for the department.
- Assist with new hire process and employee support including timekeeping.
- Other duties and administrative support projects as required.
Provide Administrative Support:
- Provide general assistance including answering internal and external phone calls routing and screening callers taking messages and providing routine information to callers promptly and courteously and arranging appointments.
- Communicate with donors via phone (as required).
- Assist with staffing reception desk and answering front desk phone.
- Schedule and coordinate meetings for projects by reserving facilities submitting catering requests and coordinating travel/lodging arrangements.
- Draft correspondence and perform mail mergers.
- Order supplies fax documents file and shred documents.
- Complete and submit travel forms check requests and invoices.
- Submit expense reports.
- Maintain calendars and/or schedules of events.
Maintain and Update Data:
- Utilize Raiser s Edge (RE) and/or Salesforce: Code gifts communicate address and biographical updates enter notes create mail merges labels and envelopes; create exports for spreadsheets; run donor/event reports and retrieve information in response to supervisor and team requests.
- Assist office staff with technical issues (Word Excel Outlook etc.) as required.
- Participate in RE cross-training in order to effectively work in a team environment.
Other:
- Support local and regional events when needed by staffing registration tables creating and distributing name tags and other duties as assigned.
- Position may require willingness to work a flexible schedule weekends or occasional evenings.
Education:
- Required Education: High School Diploma OR GED.
- Preferred Education: Associates Degree.
