Job Duties

Virginia State University invites applications for the position of University Scholarship Manager within the Office of Student Financial Aid. This position plays a critical role in managing institutional federal and state scholarship programs to ensure compliance with all applicable regulations while supporting student access affordability and success. The University Scholarship Manager works collaboratively across campus and with external partners to administer reconcile and disburse scholarship funds while providing excellent customer service to students and families.

The University Scholarship Manager is responsible for but not limited to the following:

Plan manage and oversee the awarding and disbursement of university scholarship programs in compliance with federal state and institutional policies.
Utilize automated systems (including Banner and federal financial aid platforms) to manage reconcile and report scholarship activity.
Counsel and advise students and parents on financial aid eligibility scholarship opportunities and related processes while providing high-quality customer service.
Prepare accurate scholarship reconciliations reports and documentation to ensure compliance with audit and regulatory requirements.
Participate in scholarship processing committees including the review of departmental and institutional scholarship awards and appeals.
Represent the Financial Aid Office in presentations speaking engagements and scholarship-related events including evening and weekend activities as needed.
Collaborate with campus partners such as Admissions Athletics and external agencies to support scholarship outreach and programming.
Assist with financial aid workshops registrations orientations open houses and other student-facing events.
Maintain confidentiality of student and institutional data in accordance with university policies and federal regulations.
Perform other duties as assigned to support the overall mission of the Office of Student Financial Aid.

This position may require occasional evening or weekend work to support scholarship events and outreach activities. The successful candidate must demonstrate professionalism integrity and a strong commitment to student success.

Minimum Qualifications

Must have knowledge of financial aid policies procedures and federal regulations.

Must demonstrate ability to communicate effectively and provide excellent customer service to students staff faculty and external clients.

Must be a team player and support the Financial Aid Office in different capacities.

Must be able to use the University Banner System NSLDS COD FAFSA Partner Portal and other automated systems to access student financial information.

Bachelors degree from an accredited institution or an equivalent combination of education training and relevant work experience (minimum of three years).

Knowledge of financial aid policies procedures and federal regulations.

Strong written and verbal communication skills with the ability to provide excellent customer service.

Ability to work effectively in a collaborative fast-paced environment with multiple priorities.

Proficiency in using administrative systems and technology to manage student financial data.

Additional Considerations

Experience working in a college or university financial aid or scholarship office.

Familiarity with Banner FAFSA Partner Portal NSLDS COD or similar financial aid systems.

Experience preparing reconciliations reports or audit documentation related to scholarships or financial aid.

Experience presenting information to groups or coordinating scholarship-related events.
