Job Summary

We currently have an exciting position available for an Assistant Financial Accountant - Accounts Payable. The Assistant Financial Accountant is responsible for the overall accounting function within the allocated entity. 

You are responsible for
Inclusive of but not limited to:

Dealing with accounting queries:

  • General Ledger (Investigation of source documents- audit trails)
  • Resolve queries (re-allocate etc)
  • Ensure that the general ledger is updated and complete by the 2nd working day of each month
  • All queries are resolved within 24 hours and queries are acknowledged on the same day that they are received
  • Ensured that all queries not resolved in 24 hours are escalated to your manager to be resolved or further instruction is received

Monthly reporting:

  • Daily processing
  • Weekly payments (and payments at month end)
  • Weekly request for purchase and purchase orders
  • General ledger reconciliations
  • Weekly key supplier reconciliations
  • Monthly recurring supplier reconciliations
  • Monthly reimbursement claim processing
  • Month-end accruals
  • Assistance to the senior financial account with ad hoc queries
  • Supplier account maintenance (no supplier balances in excess of 30 days)
  • Account maintenance

Statutory tasks:

  • Processing of supplier invoices in accordance with the International Accounting Standards and International Financial Reporting Standards
  • All tax treatment on VAT claimed and declared is in accordance with the Value Added Tax Act
  • All payments presented for signed off are authorized by the FM and CFO
  • Purchase orders prepared are in accordance with the procurement policy
  • Cashbook processing
  • Supplier onboarding is done correctly completely and approved as per policy

Internal control/audit:

  • Developing & up keeping of accounting policies & procedures
  • Schedules and all records are kept for leases of equipment property and utilities
  • All contracts to be kept on file and reviewed each month
  • Monitor and report on policies and procedures managed by Finance
  • Report on control controls that have been circumvented
  • Ensure that all documents that are authorized as per policy are
  • Ensure that all documents are correctly and safely filed as per policy
  • Ensure compliance with King 3 by ensuring that you act in a professional and ethical manner at all times
  • Provide assistance to the Financial Manager on request

Monthly & year-end audit files:

  • Ensure that suppliers are reconciled monthly
  • Prepare and present monthly and year-end reconciliations on general ledger accounts for prepayments and accruals
  • Assist with year-end external audit i.e. quarterly and annual audits

Fixed assets:

  • Fixed Assets register updated & relevant (depreciation additions disposals)
  • All calculations balancing & quality control to be ensured
  • All supplier invoices are to be kept on file at all times
  • Acquisitions to be insured and disposals to be removed from the insurance list

Balance Sheet reconciliations:

  • Petty Cash
  • Supplier reconciliations
  • Accruals reconciliations
  • Prepayments reconciliations

Ad Hoc Accounting activities:

  • Activities/projects on request

Business forecasting & budget modelling:

  • Involvement in the annual budget process modelling & quarterly forecasts (Budget templates & fixed assets template)

Self- Development:

  • Develop competency and skills through learning sessions both formal and informal
  • Kept updated in terms of changes made to the International Accounting Standards and International Financial Reporting Standards.

Preferential procurement:

  • Recordkeeping
  • Maintenance

Qualifications :

Youll need a customer-first mindset and the following skills to succeed in this role:

  • Relevant commercial experience  (2 4 Years)
  • Grade 12
  • BCom degree diploma or equivalent accounting related qualification required
  • Intermediate to Advanced MS Office (Excel Word PowerPoint Outlook Teams)
  • Xero experience will be advantageous
  • SAGE Intact accounting experience advantageous
