Minimum Job Requirements
- Bachelors Degree in Healthcare administration Health Sciences or related field
- 1-3 years pediatric oncology administrative support experience
- 1-3 years experience with documentation in electronic medical record
- 1-3 years patient customer service experience
- 1-3 years experience in a clinical setting or medical office (Bone Marrow Transplant background preferred)
Knowledge Skills and Abilities
- MHSA MSN or MPH preferred.
- Bilingual ability to communicate effectively both orally and in writing in English/Spanish highly preferred.
- Ability to work with a diverse customer base respecting cultural diversity patient care patient rights and ethical treatment.
- Proficient with Microsoft Office products and knowledge of electronic medical records systems.
- Detail oriented with excellent verbal and written communication skills.
- Knowledge of the healthcare industry.
- Highly engaged and organized self-motivated individual requiring little supervision.
- Ability to comprehend and discuss patients medical care with physicians nurses and other healthcare professionals.

Job Summary
Performs patient and physician(s) flow coordination of the Bone Marrow Transplant program and other clinics. Acts as resource for all clinic related questions testing scheduling authorizations issues etc. Responsible for all patient family and physician(s) questions and concerns. Leads all communications and documentation between medical practices and ancillary services.
Assumes responsibility in association with Nurses Physician and other leaders to serve as a liaison for the pediatric bone marrow transplant population across the hospital and after discharge. Establishes early contact to eliminate barriers to timely treatment through coordination of care to ensure follow up through the health care continuum. Reinforces patient education related to the childs therapy and/or the planned treatment. Provides parents with resources and linkages including community and patient/family support.
Job Specific Duties
- Responsible for effective and efficient coordination and scheduling of appointments admissions and other services for bone marrow transplant patients and donors. Follows prescribed treatment schema and checklist.
- Manages medical referrals and required documentation to support insurance approval and/or donor clearance.
- Collaborates with insurance case managers as needed to provide clinical documentation required for obtaining financial authorization for all screening evaluations and/or treatments that require pre-authorization.
- Supports the medical care team by providing guidance & assistance for patients/families. Connects with the patient/family regarding their complex care to ensure satisfaction with the hospital experience. Responsive to concerns/complaints the patient/family may have.
- Supports regulatory requirements and patient safety standards by ensuring complex patient treatment plans schedules and guidelines are adhered to.
- Serves as a communication liaison to hear and understand the patients individual needs desires and concerns. Participates in routine case review meetings to represent patients and/or donors.
- Responsible for ensuring filing and reporting of required documentation including patient records and the proper posting of updates to special databases and systems.
- Assumes responsibility and accountability for the management of resources and scheduling through multidisciplinary collaboration to support patients progress and achieve optimal outcomes.
- Ensures the highest degree of professionalism friendliness helpfulness and customer service at all times.
- Actively participates in routine interdisciplinary case review meetings contributing information to the case management process based on interactions with assigned patients donors and caregivers.
- Participates in continuous training and maintains current knowledge regarding regulatory requirements to ensure safe and efficient patient flow.
- Works with team to lead new initiatives that can improve processes workflows and patients experience.
- Supports the development for the strategic plan for the program building and measuring program outcome metrics in the domains of clinical patient satisfaction growth and quality of life.
- Facilitates organization and planning of inpatient outpatient and future patients; medical management meetings and tumor board meetings.
- Performs as a community liaison/representation for the Bone Marrow Transplant program at indicated functions and contributes to raising awareness and reputation for the program through community outreach.
