QualificationsGilsbar is searching to welcome a new Executive Assistant to our team. This role is essential in providing top-tier administrative support to help streamline the operations at Gilsbar. Responsibilities include overseeing the CEOs calendar coordinating with both internal and external partners and managing sensitive information with utmost confidentiality. We are seeking a proactive and organized individual who can effectively juggle various priorities in a dynamic work setting.
Job Duties:
- Serves as the point of contact for onsite visits with the CEOs guests which includes developing agendas reserving conference rooms making necessary reservations and organizing meeting setups.
- Manages client meetings for the association by coordinating venue arrangements and catering services as well as distributing meeting notifications and board materials to committee members.
- Drafts and prepares confidential communications reports and other intricate documents.
- Conducts research and analysis on relevant licensing statutes and administrative regulations while maintaining reference files for licensing relicensing testing and continuing education.
- Engages with state regulatory bodies and insurance representatives on behalf of the organization to ensure compliance with licensing requirements and to address any associated concerns.
- Collaborates with the Maintenance team regarding upkeep and modifications to the building and surrounding areas.
Qualifications:
- High School Diploma or General Education Degree (GED).
- A minimum of at least 3 years experience in an executive assistant role is preferred.
- Strong proficiency with Microsoft Office is necessary.
- Must be capable of following a work schedule and working autonomously.
- Ability to manage confidential information with discretion.
- Comfortable working in an office setting.
- Excellent verbal and non-verbal communication abilities are essential.
