DescriptionThe Role
The Assistant Manager plays a key role in supporting the Community Manager in
overseeing and managing the financial and operational aspects of the apartment
community. This role ensures the delivery of exceptional customer service assists in
maintaining high-quality living standards and contributes to the overall success and
smooth operation of the community.
Responsibilities
Leadership & Operations
- Serve as the on-site supervisor in the absence of the Community Manager by organizing and delegating daily work coordinating maintenance and make-ready tasks with the Service Supervisor and ensuring community operations comply with company policies procedures and business practices.
- Assist in managing the owner relationship by meeting with owners conducting community tours providing performance updates and responding to owner inquiries.
Resident Experience & Retention
- Promote resident satisfaction and retention by responding promptly to complaints questions and service requests taking appropriate action to resolve issues in accordance with company procedures and legal requirements.
- Play in integral role in the renewal process including apartment assessments and charge evaluations as needed.
- Assist and support leasing and marketing efforts including greeting prospective residents completing Guest Cards showing apartments collecting deposits and assisting with rental applications and credit verification.
- Manage resident packages ensuring timely notifications and appropriate handling of stale packages per company and local policies.
Operations & System Management
- Complete transactions by accurately entering and updating prospective and current resident information to maintain system integrity and operate the community management system (OneSite).
- Ensure community systems (package delivery security Funnel OneSite access control) operate efficiently and are utilized in alignment with company policies.
- Maintain data integrity by accurately entering and updating resident and prospect information in the community management system.
- Prepare and track performance reports that measure key metrics such as renewals resident satisfaction occupancy traffic conversion ratios and application statuses.
- Research and troubleshoot data or reporting issues escalating to appropriate support teams when needed.
Qualifications
- High School diploma or GED or the equivalent level of work experience in an office environment.
- Bachelors degree in Business Administration or similar field preferred.
- Minimum of 3 years experience in multifamily property management.
- Background in sales marketing and customer service with the ability to support daily operations and drive community performance.
- Strong communication skills with the ability to prepare reports maintain accurate records and effectively resolve resident concerns.
- Proven leadership skills including the ability to delegate tasks coordinate team efforts and foster a collaborative work environment.
- Demonstrated mathematical and analytical skills necessary for financial calculations interpreting budgets and analyzing fiscal records and reports.
Additional Requirements
- Valid drivers license with a clean driving record may be required based on the community you are applying for employment. This will be required for the use of company-owned vehicles i.e. utility and golf carts.
