Description

As aPortfolio Services Administrator Co-op you can expect to work collaboratively with a team of about 3 colleagues on managing and preparing for virtual storage documentation for completed requests through the Portfolio Services and Portfolio Administration departments. You will play a key part in the active follow-up on outstanding insurance needs for the existing portfolio with liability exposure and documentation management. As a part of this term you will learn to exercise adherence to credit and matrix authorizations system rules and corporate policies to ensure the accurate completion of documentation while meeting customer expected turnaround-timing commitments.

Day to day

Insurance:

  • Monitor the portfolio ensuring that our insurance requirements are being met contacting customers for proper documentation when necessary
  • Placing customers on our forced placed insurance program when necessary
  • Outbound follow-up on the phone and email to expired or missing liability insurance worklist
  • Ensure liability insurance is obtained from end users on identified risk portfolios
  • Escalate the issue of missing or expired liability to internal sales and vendors for assistance
  • Issue letters and/or invoices as required on liability required contracts as escalation
  • Communicate with agents customers various internal departments and dealers/vendor as required to resolve insurance coverage issues
  • Verify proof of insurance update customer data base and manage internal and external claims
  • Respond to insurance inquiries and resolve insurance issues

Documentation Management (4 days in office per week required):

  • Relabeling files and file/folder organization for virtual storage
  • Assist with procedure write-ups as a result of efficiency enhancement project participate
  • Complete excel file data entry and formulas for mass scale asset detail spreadsheets

General/Other:

  • Other duties (general office) as required
  • Participate in department and cross-functional initiatives

Essentials

  • Must be enrolled in a recognized undergraduate co-op

  • Solid technical skills including Microsoft Office applications (Word Excel Outlook)

  • Positive proactive attitude

  • Strong organizational skills ability to prioritize and multitask

  • Excellent verbal and written communication skills

  • Detail oriented

  • Ability to work from home remotely/independently in a virtual team environment and in-person/in-office:

    • Weeks 1-2 of the term: In-office requirement daily for the initial two weeks to complete essential in-office task training

    • Weeks 3 until end of term: A hybrid schedule will apply consisting of 4 days in-office and 1 day from home each week

      • Please note: For co-op HR or other DLL events an additional in-office day per week may be required

  • Bilingual an asset (French)

Applicable pay range

$20.00 $23.00/hour
