AREA OF RESPONSIBILITY:

Reporting to the Senior Manager Realty Services provides program and administrative support to the Realty Services section assisting in day-to-day duties. Ensures effective delivery of programs services and responds to general inquiries received by the Realty Services section.

  • Assist team members in the setup of new physical and digital files transferring the electronic data from Outlook and One Drive to SharePoint and assisting with the backlog of files archiving and communicating updates with the team.
  • Maintain proper organization and file structure by labelling physical and electronic documents according to established filing systems.
  • Conduct regular quality checks to ensure data integrity and consistency between OneDrive and SharePoint.
  • Provide support in troubleshooting and resolving any issues related to file organization and data transfer
  • Provide weekly reports to supervisor with updates and status of work completed
    Collaborate with team members to streamline and optimize file management processes and communicate updates with the team
  • Provide excellent client service including responding to requests in a timely accurate and professional manner
  • Perform quantitative/qualitative research to identify information as requested
  • Participates in working groups and brainstorming sessions to provide input ideas and insights
  • Assists and provides support with section deliverables including proposals benchmarking project plans reports presentations and other correspondence
  • Maintain an understanding of department programs and services
  • Support key business initiatives and continuous improvement
  • Understand adhere to and enforce Corporate Policies & Procedures Confidentiality Guidelines Emergency Procedures and Health and Safety Standards for all participants and staff
  • Attend meetings/training as required
  • Review and summarize relevant SOPs related to Realty Services as a learning activity
  • Update and maintain the Inventory of Leases Licenses and Encroachment
  • Agreements in Excel with accuracy of information and attention to detail
  • Review verify and input Lease documents Licenses and EncroachmentAgreements into physical and electronic files and update in database
  • Verify that all active files contain current insurance documents in both electronic and physical records
  • Keep track of expired insurance or other required documents from tenants

SELECTION CRITERIA:

EDUCATION:

  • Student must be pursuing a related post-secondary degree i.e. business real estate property assessment urban studies economics finance or law

EXPERIENCE:

  • Demonstrated working knowledge of discipline specific principles
  • Customer service or client-facing experience

OTHER SKILLS AND ASSETS:

  • Ability to manage multiple priorities and excellent time management and organizational skills.
  • Excellent computer skills e.g. MS Office programs including MS PowerPoint Word and Excel.
  • Practical knowledge of applicable software(s) within discipline.
  • Strong critical thinking and analytical skills.
  • Strong writing and presentation development skills.
  • Flexibility to travel as required.
