Job Title: Administrative Assistant (Office of Legislative and Public Affairs OLPA)
Project Summary
The Administrative Assistant supports the National Science Foundations (NSF) Office of Legislative and Public Affairs (OLPA) by providing day-to-day administrative operational and communications support. The role contributes to the efficient coordination of legislative public affairs and stakeholder engagement activities that involve scientific policy and public-facing content.
This position supports a federal government contract and works closely with OLPA leadership and staff to ensure professional accurate and timely administrative and communications support.
Role Summary
The Administrative Assistant provides comprehensive administrative support to OLPA including calendar management correspondence document preparation meeting coordination and basic reporting. The role requires strong organizational skills discretion and the ability to support communications and materials that involve complex scientific or technical subject matter.
Primary Responsibilities
- Manage calendars meetings correspondence and scheduling for OLPA staff.
- Prepare agendas briefing materials presentations and meeting minutes.
- Draft routine correspondence and internal communications in clear professional language.
- Maintain document libraries templates distribution lists and records.
- Enter track and maintain data in internal systems spreadsheets and tracking tools.
- Support basic reporting and metrics tracking activities related to OLPA operations.
- Coordinate logistics for meetings briefings and internal events.
- Conduct research using internal sources to support writing and editing tasks.
- Gather develop and verify information by coordinating with meeting leads subject matter experts and program officials.
Minimum Qualifications
- Three (3) or more years of administrative or office support experience.
- Three (3) to five (5) years of experience distilling complex and/or technical subjects into plain language for diverse audiences.
- Proficiency in Microsoft Office applications including Outlook Word Excel and PowerPoint.
- Strong written and verbal communication skills.
- Experience working in a professional office environment requiring discretion and sound judgment.
- Proven experience providing proposal processing administrative support or in a similar role.
- Demonstrated ability to conduct research and support content development and editing.
Preferred Qualifications
- Experience supporting science research policy or higher-education organizations.
- Familiarity working with documents that include scientific or technical terminology.
- Comfort supporting communications related to research programs or public-facing initiatives.
Work Location and Schedule
- Place of Performance: Primarily on-site at NSF Headquarters in Alexandria VA.
- Work Schedule: Monday through Friday 8:30 a.m. 5:00 p.m.
- Limited telework may be permitted with approval from the Contracting Officers Representative (COR).
Security Requirement
- Ability to obtain and maintain a Public Trust clearance.
