Position Overview:

The Accounting & HR Coordinator plays a key role in maintaining smooth financial operations and supporting essential human resources functions. This position is ideal for someone who is highly detailoriented organized and comfortable balancing responsibilities across two core business areas: accounting/billing and HR administration. The ideal candidate has a strong foundation in generally accepted accounting principles and an interest in human resources. The role supports leadership employees and external partners to ensure accuracy compliance and a positive workplace experience.

This position is approximately 75% accounting tasks and 25% human resource tasks.


Responsibilities:

Accounting Support

  • Process accounts payables and accounts receivable including invoice entry payment tracking and vendor communication.
  • Perform billing activities such as preparing customer invoices reconciling payments monitoring outstanding balances and collecting overdue accounts receivables.
  • Support monthly quarterly and year-end financial reporting by gathering data preparing summaries and assisting with reconciliations.
  • Maintain accurate financial records in accounting software and internal databases.
  • Coordinate with external accountants for audits tax filings and yearend processes.
  • Maintain and update Deltek Ajera codes and data.
  • Assist with employee onboarding including paperwork system setup and orientation scheduling.
  • Maintain employee records ensuring confidentiality and compliance with company policies.
  • Assist with HR compliance tasks such as policy updates training and documentation.
  • Be liaison between PEO and the company by assisting employees navigate benefits programs including enrollments changes and inquires related to the PEO programs.
  • Support payroll preparation by collecting timesheets verifying hours and updating employee information.
  • Draft and post job descriptions screen candidates schedule interviews and support hiring managers.
  • Experience in accounting billing or HR support (3 years preferred).
  • Proficiency with Deltek Ajera software
  • Exceptional organizational and multitasking skills with high attention to detail.
  • Ability to handle confidential information with professionalism and discretion.
  • Excellent communication skills for interacting with employees vendors and leadership.
  • Ability to work effectively under pressure and manage multiple deadlines with a positive solution-oriented approach.
  • Prepare review and distribute statements ensuring accuracy completeness and alignment with contractual terms.
  • Investigate and resolve fee discrepancies including corrections adjustments and address root causes to prevent recurring issues.
  • Participate in month-end quarter-end and year-end close processes including reconciliations and audit support.
  • Contribute to the implementation and enhancement of billing systems processes and controls to improve accuracy efficiency and scalability.
  • Work with external accountant company president and CFO to provide necessary documentation for annual valuations.

Human Resources Support

  • Attend job fairs and off-site training events as requested
  • Manage labor posters subscriptions ensuring electronic and physical posters are compliant for all locations

Qualifications:

  • Bachelors degree in accounting business human resources or a related field.
  • Excellent computer skills
  • Strong sense of self-motivation and the ability to work independently

Salary:

  • The expected salary range for this position is $60-$80K per year.
