Executive Assistant
Location: Remote (travel to meetings in Dublin/Drogheda)
Contract: 20-30 Hours (Flexible)
Executive Solutions is delighted to partner with our client to recruit an exceptional Executive Assistant to support the Company CEO.
This is a pivotal trusted role at the heart of the business. Youll act as a strategic right-hand balancing pace precision and judgement while ensuring the Business Owner can operate at maximum effectiveness. The scope is broad the exposure is senior and the opportunity to add real value is significant.
This role will suit a highly organised commercially aware EA who thrives in a busy environment working remotely with flexibility for travel to meetings when required.
The Role
Reporting directly to the Company CEO key responsibilities include:
- Proactively managing the Owners diary inbox and priorities
- Coordinating domestic and international business travel (flights accommodation transfers itineraries)
- Organising and supporting executive meetings leadership offsites and events
- Preparing agendas taking accurate minutes and circulating actions for Executive Team meetings
- Managing expenses invoices and liaising with the payments team
- Acting as a trusted liaison between the Owner Executive Leadership Team and wider organisation
- Serving as a key point of insight on organisational pulse priorities and emerging issues
- Supporting special projects and strategic initiatives from planning through to delivery
- Identifying efficiencies improving processes and enabling smarter ways of working
- Ensuring the smooth professional and efficient running of the executive office
- Handling confidential information with absolute discretion
- Providing high-quality ad-hoc administrative support as required
The Candidate
The successful candidate will bring:
- 3-5 years experience supporting at executive level
- Fluency in English;
- Exceptional diary email and stakeholder management experience
- Strong interpersonal and communication skills with confidence engaging at senior levels
- High levels of discretion integrity and sound judgement
- Excellent organisational planning and problem-solving capabilities
- Ability to prioritise effectively and work calmly under pressure
- A flexible proactive and solutions-focused approach
- Strong IT skills particularly Microsoft Word Excel PowerPoint and Outlook
- A professional approachable and people-focused manner
- Some travel required for meetings throughout Dublin & Drogheda
- A third-level qualification is desirable
- Full Drivers Licence required
