- Completion of the twelfth (12th) grade including business subjects with an emphasis on legal assistant or paralegal studies insurance and/or business
- A minimum of three (3) years of progressively responsible and diversified experience in a Legal Assistant Paralegal or Claims Assistant support role
- Experience in insurance litigation (defense) or working in a claims-focused role within an insurance company or claims department is highly valuable
Skills required for success:
- Exceptional attention to detail and a high degree of precision in document and data management
- Strong organizational and time management skills particularly in managing competing deadlines and a file lifecycle
- Excellent written and verbal communication skills with the ability to convey clear professional and empathetic information to external parties (claimants lawyers)
- Proven proficiency in administrative software such as Microsoft Office Suite/Google
- Ability to handle complex and sensitive information with discretion and maintain strict confidentiality
- Strong analytical and critical thinking skills to identify missing documentation and reconstruct incomplete files

- Experience working for a municipal provincial or federal government or regulatory body demonstrating familiarity with public sector procedures and handling sensitive information

Join the Legal Services Branch as a Claims Assistant where your precision and organizational skills will be the foundation for the Citys insurance and claims this critical support role you will assist our team of Claims Adjusters by managing the end-to-end flow of claim-related information and correspondence. This involves compiling documentation drafting correspondence and meticulously maintaining claim files to ensure accuracy and a clear audit trail. You will act as an integral part of communication liaising with claimants external counsel community partners and various internal departments. Success in this position requires discretion a strong understanding of claims procedures and a proactive approach to meeting deadlines within a fast-paced and sensitive legal environment.
What will you do:
- Under adjusters direction assist with communication with claimants legal counsel and external service providers drafting and finalizing correspondence such as information requests denial and settlement letters
- Proactively support the adjusters with research and collection of critical third-party documentation including police reports property damage estimates and medical records to prepare comprehensive claim packages for adjuster review
- Accurately initiate and process financial transactions for approved claims including preparing cheque requisitions and EFT forms while ensuring all payments are supported by required legal documentation
- Manage a systematic Bring Forward system to track critical legal deadlines such as limitation periods and pending actions proactively flagging these timelines for the Adjuster to ensure timely compliance with the Rules of Court
- Perform essential administrative and logistical duties including accurate data entry into the claims management software (iVos) and other systems (SAP/Ariba) and coordinating external meetings and claim reviews
