The Defense Systems Group (DSG) provides analysis-based decision support to senior leaders on space architectures policy and strategy technology development warfighter capability enablers systems integration defense industrial base and threat reduction to help shape existing and future space missions across the national security space (NSS) enterprise. DSG is unique at Aerospace as it not only directly supports major customers including the U.S. Space Force U.S. Space Command Air Force Materiel Command and senior leadership at the Pentagon but also provides a broad range of technical support across the national space enterprise maintaining vertical responsibilities with customers portfolios as well as horizontal matrixed responsibilities across the corporation. Additionally DSG provides deep technical expertise to the Space Force Space Systems Command (SSC) in the conception design acquisition launch and operations of satellite launch vehicle ground control and range systems.

We areseekingadrivenand confidentExecutiveAdministrative Partnerwhoprovidesstrategicadministrativesupportto the Senior Vice President of DSG as well as the Vice President of Defense Strategic Space (DSS) thatcontributesto implementing the goals of an integral member of theorganizationsmanagement team and focal point for thegroup the individualprovides collaborative administrative leadership to ensure effective and are proactive and take initiative to solve problems independently with autonomy to positivelyimpactthe productivity and efficiency of the organization and its leader(s).This person contributes to key business-relateddecisions takes ownership of processes and procedures and works closely with leaderscolleaguesand customers across the enterpriseto ensuretheorganizationruns smoothly and meets internal/external deadlines.

The selected candidate willbe requiredto work full-time on-site at our facility inCrystal City VA.

What youll be doing

  • The SVP DSG is responsible for all Aerospace Federally Funded Research and Development Center support to the Department of Defense and the VP DSS supports Pentagon-based organizations. This role is a dynamic partnership where you will be contributing to implementing the strategy and goals of theorganization.
  • Act as a partner representative and point of contact for executive with frequent interaction with Board of Trustees corporate management various levels of internal management as well as government customers contractors and other high-level officials
  • Organizes and prioritizes critical issues and information for theexecutive(s) tofacilitateefficient decision making
  • Leadsspecial projectstracks anddrivescompletion of actions items and deliverables
  • Managesgroup corporate and customer reports/deliverables/org charts(compile/edit/publish)
  • Drafts and prepares various correspondence emails letters presentations on behalf of executive(s)
  • Provides input and feedback into executive/corporate activities and decisionswithfollow-upcommunications and coordination
  • Develops and improves effective processes/systems across the enterprise that provide superior organizationefficiencyand industry-lead technical bestpractices
  • Executesstrategic proactive and complexcalendar/meeting/event planningmanagementand conflict resolution
  • Arranges complex travel coordinationlogistics and expense reporting for leadership
  • Managesthecoordination of employee support for the group/division/sub-division (on-boarding timesheet administration/auditing training requirements supply/equipment orders)
  • Collaborateswith admins within the group division subdivision and across the corporation to achieve coverage and increase efficiencyand consistency
  • Leadsby training andmentoringdivisionadmins and is a role model bydemonstratingprofessionalism team collaboration technicalexpertise andleadership behavior that is consistent with the companys values

What you need to be successful

MinimumRequirements:

  • High School DiplomaGEDor equivalent
  • Mastery ofadministrative skills:project managementstrategic execution of tasks organizationdetail-oriented writing and proofreading
  • Expert-leveltechnological fluency across a wide range of tools and platforms such asMicrosoft Office applications including Outlook Word PowerPoint TeamsSharePointand Excel
  • Mastery ofcommunication & interpersonal skills:leadership collaboration strategic thinking problem-solving emotionalintelligence diplomatic judgment business acumen and decision making across all levels of the organization
  • Ability to rapidly adapt to changing environments andanticipateneeds of the organization
  • Ability to handle sensitive andpersonnel-relatedinformation appropriately and support sensitive management functions
  • Ability to work independentlyand/orleada team toproactivelydeliver innovative solutionsand resolve issueswith minimal direction
  • Ability to obtain and maintain a security clearance which is issued by the US government (U.S citizenship is required to obtain a security clearance)

How You Can Stand Out

It would be impressive if you have one or more of these:

  • Prior experienceas anexecutiveadmin or similar role
  • Familiarity withenterprise software packages such as ConcurWorkday JIRA Confluence
  • Masterly of internal AI tools that improve efficiency and communication
  • Bachelors Degree or other additional relevant education and training
  • Existing security clearance and/or ability to obtain TS/SSBI/SCI security clearance which is issued by the U.S. government.
