POSITION SUMMARY
PACE Energy Department Is looking for a motivated and service-oriented WEATHERIZATION SCHEDULER to join the team! This role will be responsible for coordinating and managing all aspects of job scheduling for weatherization services performed under contracts with the Department of Energy (DOE) Weatherization Assistance Program and the Low Income Home Energy Assistance Program (LIHEAP). This position serves as the primary liaison between clients field crews inspectors and management to ensure efficient workflow and timely completion of weatherization projects while maintaining compliance with all program requirements.
KEY RESPONSIBILITIES
Scheduling and Coordination
- Develop and maintain comprehensive job schedules for weatherization projects across multiple contracts (DOE and LIHEAP)
- Assign qualified crews and inspectors to jobs based on crew availability certifications service requirements and geographic locations
- Coordinate with clients to schedule initial assessments installations and final inspections at mutually convenient times
- Monitor daily crew assignments and adjust schedules as needed to address emergencies weather delays or equipment issues
- Optimize crew utilization to maximize productivity while maintaining quality standards and meeting contract obligations
Client Communication - Serve as primary point of contact for clients regarding scheduling appointment confirmations and service updates
- Provide clients with clear information about scheduled services expected duration and any preparation requirements
- Send appointment reminders via phone email or text message to reduce no-shows and last-minute cancellations
- Handle rescheduling requests professionally and work to accommodate client needs while maintaining efficient workflow
Documentation and Compliance - Maintain accurate and up-to-date records of all scheduled jobs completed work and pending appointments
- Verify client eligibility documentation is complete before scheduling services
- Ensure all scheduling activities comply with DOE and LIHEAP program requirements timelines and regulations
- Track and document priority classifications (elderly disabled households with young children) to ensure high-priority cases receive timely service
- Generate regular reports on scheduling metrics job completion rates and contract performance
Resource Management - Monitor crew certifications and ensure appropriate personnel are assigned to jobs requiring specific qualifications (BPI certification lead-safe practices etc.)
- Track equipment availability and coordinate equipment needs with crew assignments
- Communicate materials and supply needs to procurement based on scheduled jobs
- Identify scheduling bottlenecks and work with management to resolve resource constraints
Quality Assurance and Follow-up - Monitor job status from initial contact through final inspection and closeout
- Schedule required quality control inspections and ensure completion within program timeframes
- Follow up on incomplete or pending jobs to ensure timely resolution
- Address and resolve scheduling conflicts or service delivery issues promptly
QUALIFICATIONS:
Education and Experience
- High school diploma or equivalent required; associate degree or higher preferred
- Minimum 2 years of experience in scheduling dispatching or project coordination
- Experience with government-funded programs or weatherization services strongly preferred
Technical Skills - Proficient in Microsoft Office Suite (Excel Word Outlook) and scheduling software
- Strong data entry skills with high attention to detail and accuracy
- Ability to learn and utilize client management databases and specialized weatherization program software
- Comfortable with multi-line phone systems and basic office equipment
Core Competencies - Exceptional organizational and time management skills with ability to manage multiple priorities simultaneously
- Strong written and verbal communication skills; ability to interact professionally with diverse populations
- Problem-solving aptitude and ability to adapt to changing circumstances
- Customer service orientation with patience and empathy for low-income clients
- Team player with ability to collaborate effectively with field crews inspectors and management
- Self-motivated with ability to work independently with minimal supervision
Preferred Qualifications - Knowledge of DOE Weatherization Assistance Program and LIHEAP regulations and requirements
- Familiarity with weatherization services and energy efficiency measures
- Bilingual skills (English/Spanish) strongly preferred
- Experience with geographic routing and territory management
- Previous work with non-profit or community action agencies serving low-income populations
ADDITIONAL REQUIREMENTS
- Must pass employment verification/reference check
- Must have reliable transportation.
- This position is on-site in the PACE Los Angeles office but may require occasional field visits to job sites for training or coordination purposes
- Standard business hours with occasional flexibility required for early morning or evening crew coordination
- COVID vaccination required; must have two doses of Pfizer or Moderna or a single-dose of Johnson & Johnson. Those that need a medical or religious exemption must reach out separately
