What this job involves:
The Facilities Area Manager serves as a key leadership role within the Operations Team responsible for delivering world-class operational service and comprehensive client support across multiple buildings. This position provides direct supervision and strategic oversight of technical trades personnel maintenance operations and facility management activities. The manager will manage client relationships lead cross-functional teams and ensure seamless project execution whilemaintainingstrict compliance with safety regulations and industry standards.
This role encompasses comprehensive budget management responsibilities including cost forecasting resource allocation and financial oversight of maintenance and capital improvement projects. The position requires proven leadership capabilities to guide and develop technical staff while coordinating with contractors subcontractors and engineering teams tooptimizeoperational efficiency across the portfolio.
The Facilities Area Manager mustdemonstrateexceptional communication and client service skills serving as the primary point of contact for escalated issues and strategic facility planning. This individual willestablishand maintain compliance protocols manage multiple concurrent projects and ensure all operational data and documentationsupportsinformed business decision-making. The role demands a results-oriented leader who can work autonomously while building strong collaborative relationships with clients vendors and internal stakeholders to consistently exceed service expectations across all managed properties.
What your day-to-day will look like:
Work with Workplace Manager to oversee the delivery of maintenance and repair services and various other duties. Ensure client satisfaction with delivery of Facility Management and Workplace Experience services and provide a lead role in monitoring and increasing customer satisfaction
Responsiblefor execution of operating budget for their respective sites to include overseeing POs and vendor contracts.
Creates and issues all JLL vendor and contractor related purchase orders
Assistsin the completion of the building audits
Reviews andprioritizesrequests for workthrough CMMS; responsible for ensuring all work is completedin accordance withestablished standards
Determinesactivitiesfor completion of a work order (WO) and createsWOsas needed
Oversee daily work order review and follow up on work orders to ensure impeccable work order performance and superior customer experience
Assist the Workplace Manager in meeting or exceeding Site KPIs; Monitor SLAs monthly toidentifypotential off-track areas and plan corrective actions accordingly
Recommend continuous quality improvement practices
Provide quality analysis of customer feedback on an ongoing basis. Develop effective response plans and implement per the plan
Confers/communicates with work order requesters
Estimates the labor resourcesfor completion of a WO estimates and reviews work order invoice of labor costs materials non-stock material purchaserequisitionsand external resourcesfor completion of WO
Determinesand arranges any operational safety requirements for the completion of a WO
Develop monthly/quarterly reporting
Assistwith updating service provider matrix for assigned regions
Coordinate with Account Team as needed to help source andidentifynew Business Partners to provide services on our behalf for the client
Determinesdates and duration to complete WOs
Works w/ subs and contractors and helps assign individuals or groups of individuals asto complete the work
Coordinates the teamwork schedule to ensure the most effective use of team resources andtimelycompletion of all pre-planned and corrective work
Set up and lead monthly conference calls with Business Partners to discuss vendor performance trends updates to accounts issues on vendor side as well as with JLL Workplace Services team safety moments reminders vendortrainingand other business as needed
Coordinates with client representatives to understand their needs and to ensure the work schedule takes account of the downtime windows negotiated with clients where necessary
Creates and publishes weekly monthly and quarterly work schedules and makes them available to team members and client representatives
Ensure account team members greet employees and guests with utmost courtesy and urgency to provide hands-onassistancewhen. Project an approachable and professional image in personal appearance manner and demeanor
Local travel between nodal buildings
Must be able to respond to after-hours site emergencies.
Required Qualifications:
Minimum of two years of facility management industry experience.
Must have basic computer and mobile (Smartphone) skills for CMMS (Corrigo a plus) email MS Office TEAMS Safety training Sourcingetc
Strong financial acumen withpreviousexperience developing and executing Maintenance and Repair budgets
Strong working knowledge of HSSE building systems (BMS HVAC Fire Panelsetc) regulatory compliance requirements and PMRM schedules for large facilities.
Strong organizational and management skills
Must be motivated and able to work without direct constant supervision
Excellent customer computer verbal and written communication skills
Ability to multi-task and effectively organize responsibilities to achieve portfolio goals andobjectives
Must have strong Teamwork Ethics and Excellence (JLL core behaviors)
Preferred Qualifications:
Bachelors degree in Facility Management or Property Management or Hospitality Management a plus
FMP Certification through IFMA
