The successful candidate for the Director Office Services role will have overall responsibility for all the organizations facilities distribution centers office services and office equipment required to support the this role they will oversee direct and support the management of three (3) Distribution Centres Moncton Dartmouth and Montreal five (5) major facilities in Moncton (2) Dartmouth Montreal and Etobicoke as well as three (3) branch offices Charlottetown Halifax and St. Johns NL.
Key Responsibilities:
Directing and supporting employee engagement development and corporate value activations within all functional areas.
Facility and Operational Planning:
Space Planning / Office Design
Building management (landlord/owner) relations
Physical Security & Building Access
Operational standards and matrixs
Business Continuity Plans (Facilities/Distribution/Print Services)
Lease Negotiations and office equipment contracts:
Negotiating contract for Space and Office equipment
Contract preparation legal review executive review & sign off
Directing and supporting the day-to-day facility operations office services and distribution/print services functions:
Office moves & reconfigurations
Office office equipment purchase/ maintenance and repair
Renovations and project oversight
Stock room inventory control & document management
Distribution Print Services and training and quality assurance
Note: most decisions can and are made at the manager level but this position has overall responsibility and final decision based on the magnitude of the decision required.
Fiscal responsibility for Office Services and Corporate rent / leasehold improvement budgets:
Accountable for annual rent budget of 13 million year 1 million annual leasehold budget $ 5 million annual operating budget
Total staffing budget of 58 employees
Qualifications:
Education: Post-secondary education in Business or a related field.
Experience: 7-10 years of progressive management experience with increasing levels of responsibility.
Language Requirement: Proficiency in English is required. Bilingualism (English/French) is considered an asset.
Knowledge and Skills:
Ability to lead and direct.
Supports opportunities for and encourages learning and growth; reflect a commitment to employees and customers.
Coaches mentors and provides feedback on day-to-day operational issues ensuring staff have the tools and skills to do their jobs
Supports the resolution of routine and complex operational problems cross-functionally and within the team.
Seeks input from team members to implement or develop solutions for process improvements new office design or future space requirements
Ability to set challenging but realistic goals for the department to support and complement Medavies vision and overall strategic corporate plan
Financial Management skills to manage resources effectively
Ability to negotiate lease agreements and vendor contracts.
Knowledge of real estate transactions and market analysis an asset.
Proficient in office design space allocation construction project management and building management.
Proficient in operational productivity and quality assurance principles.
Open minded flexible adaptable and customer focused.
Security Clearance Requirement: In conjunction with our contract with the Federal Government you will be required to have Reliability Status Clearance (Enhanced Level B).This includes Fingerprinting Criminal Record Check Credit Check and you must have resided in Canada for at least 5 years and hold Permanent Resident or Citizenship Status.
