CFA Institute is seeking a highly skilled and proactive Executive Assistant to provide dedicated 1:1 support to the one or more Managing Directors. This role is critical to enabling the effectiveness of a senior leader operating in a complex global environment. The successful candidate will serve as a trusted partner first point of contact and strategic administrative professional who anticipates needs manages competing priorities with sound judgment and handles highly confidential matters with discretion and professionalism.
Serve as the primary point of contact for the Managing Director(s) handling internal and external communications via phone email and written correspondence with professionalism and sound judgment.
Manage a highly complex and dynamic calendar ensuring meeting efficiency priority alignment and real-time updates to schedule changes.
Coordinate and support meetings special events video conferences and conference calls including preparation of agendas materials minutes and follow-up actions.
Proactively manage meeting logistics such as room reservations off-site venues catering hospitality attendance tracking and participant coordination.
Arrange and manage complex multi-city international travel including itineraries visas time-zone considerations and end-to-end travel logistics.
Prepare high-quality materials for senior leadership the CEO Board of Governors and other executive-level committees using PowerPoint Word and Excel.
Prepare and submit expense reports and reconciliations; support the establishment and maintenance of policies and operating procedures.
Act as a liaison between the Managing Director(s) and key stakeholders including senior leaders employees and governance bodies.
Conduct research and provide administrative and project support for ad hoc initiatives as needed.
Minimum Qualifications
57 years of experience as a dedicated Executive Assistant supporting a senior leader in a fast-paced environment.
Demonstrated experience managing highly complex calendars and schedules.
Proven ability to coordinate international travel including securing visas and related documentation.
Exceptional organizational skills with strong attention to detail and the ability to multitask effectively.
Excellent written verbal listening and presentation communication skills.
Advanced proficiency in Microsoft Office (Word PowerPoint Excel Outlook).
High degree of discretion and professionalism in handling confidential information.
Ability to work independently exercise sound judgment and anticipate leadership needs.
Preferred Qualifications
Significant professional experience in a multinational or global organization.
Experience supporting interactions with executive leadership boards or governance bodies.
Knowledge of expense management and database systems.
Fluency in English required; additional language proficiency is a plus.

Expected salary range: $75000 - $95000
Other benefits include eligibility for annual incentives 12% employer retirement contributions and competitive medical benefits.
