Pay : HK$26908 - HK$37590 (HGPS Point 9 - 15) per month including Monthly Allowance
Up to 15% of total basic salary (after deducting the contribution of Mandatory Provident Fund by Hospital Authority) as end-of-contract gratuity may be offered to contract staff upon completion of the contract subject to satisfactory performance.
Key Responsibilities:
Perform clerical duties following general instructions or prescribed procedures with
1. Report to hospital managers and provide support to managers including:
a. Co-ordinate and provide administrative support to meetings / activities / programmes relating to Facilities Management and Building Projects issues
b. Compile statistics and conduct simple analysis
c. Draft correspondence and handle enquiries
d. Process verify and compile data and report using in-house systems and HA wide systems including AIRS ERP COPPE CMMS FMMS JOS e-allowance system and e-document management system (eDMs) etc.
e. Assist to organize hospital Safety Health Environmental and Quality activities / programmes
f. Conduct product sourcing procurement quotation and tender exercise in facility management
g. Assist in the setting up and maintenance of filing system
h. Carry out contract administration
i. Assist in cost / budget planning and cashflow management and monitoring the works progress following Facility Management process policy and rules.
2. Communicate with suppliers / contractors / consultants / internal users.
3. Supervise junior clerical and support staff.
4. Operate telephone system paging system and alarm panels when necessary.
5. Perform any other duties as assigned by supervisors
Entry Requirements:
1. (a) Passes in 5 subjects in the Hong Kong Certificate of Education Examination including English Language (Syllabus B) Chinese Language and Mathematics or equivalent.
OR
(b) 5 subjects in the Hong Kong Diploma of Secondary Education attaining the level specified below:
l Level 2 in English Language Chinese Language and Mathematics; and
l Level 2 in New Senior Secondary subjects/ Attained in Applied Learning subjects/ Grade E in Other Language subjects; or equivalent.
2. 3 years clerical experience with good knowledge of the functions and operations in one or more of the following areas:
(a) general administration
(b) filing and records keeping
(c) supplies and stores
(d) human resources
(e) finance accounting and statistics
(f) data input and analyses
(g) typing word processing and/or Chinese word processing
(h) telephone operation client communication and reception service
Preferred Attributes / Exposure:
1. Hands-on experience in common office automation (e.g. Outlook E-mail Internet/Intranet etc.) and proficiency in performing typing and computer operations in MS Word MS Excel MS PowerPoint and Chinese word processing.
2. Knowledge of HA IT systems such as ERP EAM COPPE CMMS FMMS e-allowance system and e-document management system (eDMs) is an advantage.
3. A good team player with good interpersonal organizational supervisory and communication skills.
4. Reliable well organized mature self-motivated with a strong sense of responsibility and able to work independently and under pressure.
5. Good command of both spoken and written English and Chinese.
6. Ability to organize work and supervise junior clerical staff.
