Job Summary

Summary

If youre interested in making a difference in the community by helping to treat and eliminate TB then this is the place for you. The TB Control Program works in conjunction with other local health departments in Washington state to ensure our underserved population has access to treatment and removes barriers so people with TB or Latent TB Infection (LTBI) can receive care regardless of cost.

This position will serve as the lead administrative specialist for the TB Program. Theyll provide administrative support across the program manage facilities serve as the financial custodian support onboarding and offboarding of new staff manage travel procurement and provide internal and external customer service.

Temporary opportunity. Term-Limited Temporary (TLT) positions are at-will positions but are eligible for benefits. This TLT is currently anticipated to last 2 months (3/2026) with the possibility of extension. However funding sources for this work remain uncertain and dependent upon decisions actively being made at both the federal and local levels. As a result the end date of this position may be adjusted based on those decisions. The County and the Department continue to work to secure long term funding sources.

This vacancy can also be filled as a Special Duty opportunity. For Special Duty Assignment interest you must be a Career Service Career Service Exempt or other regular (non-temporary) employee in King County who has completed their initial County probation. You must have supervisor approval prior to taking a Special Duty Assignment.

Job Duties

LEAD position ONLY FTE: 0.30

  • Serve as Lead for Administrative Support Section (2staff) including distribution of tasks and ensuring coverage for staff who are out.
  • Direct workloads ensuring all Sections within the Program have adequate administrative support.
  • Directly supervise the admin team as appropriate.
  • Ensure cross training of all administrative support section staff to ensure all staff have a good working knowledge of each function.
  • Lead Administrative Support Section staff on annual archiving and purge of records (medical and programmatic).
  • Develop and revise training materials appropriate for all Administrative Support Section staff.
  • Serve as the Program representative on the Electronic Health Records Administrative Team and Health Information Team.
JOB FUNCTION: General Administration FTE: 0.40 (LEAD position) 0.30 (non-Lead position)
  • Under direction of the TB Operations Manager coordinate the implementation of County Department and Division personnel policies procedures and practices in the Section.
  • Under limited supervision independently prioritize and provide office and administration coordination services for the TB Control Program.
  • Maintain inventory of vehicles equipment and supplies. Coordinate facility and equipment repair/management issues with Harborview Medical Center King County Construction & Facility Management and outside vendors.
  • Coordinate scheduling of all Class B Refugee clients including coordination with Relief Organizations and the State Department of Health.
  • Receive and respond to all Release of Information requests and ensure compliance with departmental and federal guidelines regarding health records.
  • Coordinate and order general office supplies and equipment. Support Section in other purchasing and invoicing needs. Reconcile financial expenses. Understand and apply grant and contract process and protocol and assist project managers in processing and routing grant and contract invoices utilizing King Countys Oracle software system.
  • Monitor EDN notifications printing forms tracking on spreadsheet entering into TB Tracker and routing paperwork to RN.
  • Plan and adapt office management processes procedures and methods for activities such as records management document development document management reporting invoice processing inventory and travel and training plans. Interpret and apply existing King County policies procedures and codes where relevant.
  • Support Supervisors in the onboarding process through equipment ordering and training new staff on administrative functions.
  • Provide customer service support that includes responding to public inquiries including public disclosure requests which may be of a complex and technical nature and providing assistance to other county departments and employees.
JOB FUNCTION: Financial Administration FTE: 0.30 (LEAD position) 0.10 (non-Lead position)
  • Provide input and support for all year-end activities
  • Work with Clinic Staff to resolve patient billing issues
  • Provide and monitor all TB incentives (Taxi Petty Cash Imprest Bus Tickets and Gift Cards) to clients. Reconcile all TB incentive options using County and Department Cash Handling procedures and best practices.
  • Place orders pay invoices and receive goods using Oracle System and P-Card use as appropriate.
  • Coordinate travel arrangements for program staff who have approved travel requirements.

Experience Qualifications Knowledge Skills

Ideal Candidate:
Minimum 4 years working in an office setting and 2 years of supervising experience. Must have at least 4 years of financial experience and proficient in Microsoft 365 (Outlook Word Excel SharePoint Teams PowerPoint)

Desired Candidate:
Experience working in the public sector with healthcare experience. Experience working with Oracle and Agiloft
