The Executive Assistant to the Purchasing Agent provides high-level executive administrative and operational support to the Purchasing Agent. This position serves as a trusted partner to executive leadership and functions as support for human resources administration financial and budget tracking and department-wide administrative operations. The role requires exceptional discretion sound judgment and the ability to manage confidential personnel financial procurement and executive information in a complex public-sector environment. The role demonstrates professionalism diplomacy customer service and strong communication skills in interactions with elected officials senior leadership vendors and community stakeholders ensuring effective engagement within the Office of the Purchasing Agent and across Harris County.
Duties and Responsibilities:
Executive & Purchasing Agent Support
Serve as the primary executive assistant to the Purchasing Agent.
Manage the Purchasing Agents calendar meeting schedules travel arrangements and executive correspondence.
Prepare agendas briefing materials presentations reports and executive summaries for Purchasing Board Commissioners Court and executive leadership meetings.
Coordinate and track items requiring Purchasing Agent review signature or approval.
Serve as liaison between the Purchasing Agent and county departments elected officials offices and central administrative offices.
Maintain strict confidentiality of executive legal personnel and procurement-related matters
Human Resources Coordination & Administration
Support the department Human Resources function.
Support recruitment interview scheduling onboarding and employee retention activities.
Support performance management processes and training compliance tracking.
Maintain organizational charts and workforce data.
Finance & Budget Administration
Provide administrative support for budget development monitoring and reporting.
Track expenditures encumbrances invoices and budget balances.
Coordinate invoice processing and financial documentation.
Assist with audits financial reporting and budget justifications.
Serve as liaison with Finance Budget and Auditors offices.
Department Administration & Operations
Coordinate department-wide administrative operations and workflows.
Maintain calendars deadlines and compliance timelines.
Support development and organization of policies SOPs and procedures.
Manage records retention and document control.
Support special projects and strategic initiatives led by the Purchasing Agent.

Education:
Experience:
Minimum five (5) years experience in an executive level administrative or C-Suite support position.
Knowledge Skills and Abilities:
Intermediate level proficiency with Microsoft Office Suite; Outlook PowerPoint and Excel.
Excellent organizational skills with strong attention to detail.
Strong interpersonal and communications (written and verbal) skills.
Ability to apply sound judgment in decision making and effectively multi-task in a fast-paced environment.
In depth understanding of the organizations policies and operations.

Bachelors degree in Public Administration Political Science Government Studies Public Policy Communications or a related field is preferred.
Experience with HR &/or Finance Administration a plus.
Experience in an Executive Level Administrative
Bilingual in English and Spanish is preferred.
Position Type and Typical Hours of Work:
This is a full-time position with the typical work hours of: Monday - Friday from 8am-5PM.
Occasional weekends holidays and overtime may be required based on the specific needs and demands of the department.
