Job Summary

Job Summary

Manage and direct all aspects of multiple school activity accounts including but not limited to purchase orders checks deposits reconciliation and reports.

Essential Job Functions

Communication

  1. Answer multi-line telephone greeting callers in a friendly courteous manner taking accurate messages answering inquiries and transmitting instructions.
  2. Greet visitors staff and students in a friendly and professional manner.
  3. Ability to shift quickly between several tasks without loss of continuity.
  4. Ability to independently identify and undertake additional tasks to be accomplished.
  5. Ability to establish and maintain effective working relationships.
  6. Ability to listen actively and demonstrate understanding.
  7. Ability to maintain restraint and keep calm when faced with frustrated individuals. (Remains calm uses good judgment and thinks quickly and rationally in difficult or stressful situations.)
  8. Oral and written skills to convey ideas facts and information effectively and accurately.

Financial

  1. Manage the finances for all activity accounts including receiving and depositing money creating purchase orders pay invoices and reconciling accounts.
  2. Count and deposit all monies received from lunch and school activity accounts in accordance with school board policy.
  3. Serve as the primary contact for collecting money.
  4. Design implement communicate and continually revise activity account procedures for students staff and vendors.
  5. Responsible for being knowledgeable about activity account and student information software.
  6. Work closely with district business office pertaining to finances.
  7. Prepare monthly and yearly financial reports of all student activity accounts.
  8. Maintaining comprehensive financial files including request for purchase orders purchase orders invoices checks deposits and monthly and yearly reports.
  9. Prepare change boxes and tickets for co-curricular activities.

Clerical

  1. Ability to perform assigned responsibilities duties and tasks according to established procedures techniques and standards with minimal supervision.
  2. Skill in proofreading materials to ensure accuracy.
  3. Use various software applications such as relational databases and spreadsheets to assemble manipulate and/or format data and/or reports.
  4. Locate and compile information and format reports tables records and other sources of information.
  5. Assemble and categorize facts and figures for written computation and calculations.
  6. Ability to independently identify and undertake additional tasks to be accomplished.
  7. Carry out duties and responsibilities with limited supervision. Make decisions and establish work priorities.
  8. Maintain records through filing retrieval retention storage compilation updating and destruction.

Qualifications:

Education/Certification:

1 year certificate from college OR technical school

Experience:

2 years of experience in working within an office environment.

2 years of experience working with the Google and Microsoft Office suite of applications

2 years of related experience and/or training; or equivalent combination of education and

experience.

Required Knowledge Skills and Abilities (KSAs):

Able to alphanumerically and chronologically file documents develop office procedures

and follow directions.

Able to handle confidential information in a professional and secure manner.

Able to answer phones take messages and direct others to the appropriate staff and/or

department.

Able to type 60 WPM.

Able to work office equipment.

Able to disseminate information according to ResponsiveEd State and Federal

Guidelines.

Excellent verbal and written communication skills.

Ability to learn customized computer programs.

Ability to communicate effectively verbally and in writing with staff students and

parents.

Ability to manage multiple priorities effectively.

Ability to develop and maintain effective working relationships.

Ability to travel as necessary.
