The Opportunity

Reporting to the Manager Diagnostic Imaging the Registration & Scheduling Clerk is responsible for the timely and accurate booking scheduling and registration of patients and families including inpatients ambulatory clinic patients and outpatients with imaging appointments at IWK Health. The Registration & Scheduling Clerk interacts with patients families team members radiologists referring clinicians students and partners in a respectful and collaborative manner in keeping with principles of family centered care and Health Centre standards to meet the needs of our patients and their families.

Summary of Duties:

  • Greets receives instructs and directs patients families visitors and hospital staff.
  • Answers incoming telephone calls and performs registration duties at designated reception areas and workroom locations.
  • Obtains primary patient demographics MSI or third-party billing information from patients as required
  • Schedules patients for a variety of medical imaging procedures and exams.
  • Data entry in relevant information systems as required
  • Follows-up with scheduling contacts nursing personnel physicians and/or others to obtain missing information and to correct scheduling errors.
  • Filing/sorting/mailing/faxing of reports as required
  • Other clerical duties as required

Hours of Work

Monday to Friday; 70 hours biweekly shifts covering period between 0700 and 1800

Your Qualifications

Successful completion of High School Diploma or GED required.
Minimum of 1 year of previous experience in a similar role in a health care setting is required
Successful completion of recognized business/secretarial program an asset.
Previous experience with MEDITECH Magic modules applicable to Health Information Services i.e. Community Wide Scheduling (CWS) Admission (ADM) and Radiology (RAD) preferred.
Computer proficiency including email internet and ability to work within Microsoft Office required.
Previous experience with eMedical eReferral and/or Xero preferred.
Demonstrated attention to detail accuracy and data entry skills.
Demonstrated communication both verbal and written and conflict resolution skills.
Demonstrated interpersonal collaboration and teamwork skills.
Demonstrated tact and discretion in dealing with sensitive and confidential patient information. Demonstrated ability to maintain confidentiality.
Demonstrated commitment to customer service in the healthcare environment.
Demonstrated planning organizing prioritizing and time management skills.
Demonstrated accountability initiative and ability to work independently.
Demonstrated adaptability in a technology-driven environment an asset.
Excellent attendance.
