Permanent & Full-Time On-Site Role

Role Purpose & Accountability

The Dublin Dental University Hospital is seeking to recruit a Production Laboratory Administrator Grade IV in the Dental Laboratory Department to join the team as soon as possible. This a permanent contract on-site role over 35 hours per week.

The overall purpose of the Production Laboratory Administrator role is to work as a member of a busy team to deliver an excellent level of service to all patients students and staff within the Hospital.

The position reports to and is accountable to the Production Laboratory Manager or by any other authorised designated officer that the responsibility is delegated to by the PLM and/or the CEO.

Outline of Duties and Responsibilities

The successful candidate will primarily be responsible for logging and tracking of dental laboratory cases within the production laboratory and cases being sent to external laboratories. This will also include administering Laboratory services in an efficient manner and to provide an excellent service to staff and students.

The Lab Administrator typically has a wide range of responsibilities which includes but is not limited to:

  • Processing of all Laboratory work entering and leaving the Lab on a daily basis.

  • Ensuring that all laboratory prescription sheet are filled out correctly and checking for any Non-Compliances.

  • Keeping track of both internal and external laboratory work where possible to ensure it is returned in a timely manner.

  • Liaise with external laboratories to ensure a good quality and efficient service.

  • Produce monthly reports detailing the volume of work passing through the laboratory with a breakdown of Cost/Units per department.

  • Managing queries from staff and students either in person or over the phone. Providing Induction Laboratory training to Staff and Students at the start of each academic year.

  • Maintaining records including data collection for the yearly ISO reports.

  • Compiling reports for ISO accreditation on a yearly basis.

  • Compiling the minutes at the laboratory committee meetings.

  • General Laboratory duties as required including but not exclusive to ensuring office administration is provided to laboratory staff.

  • Attending team meetings and other meetings as required.

Staff Responsibilities:

Administering Laboratory services in an efficient manner and to provide an excellent service to staff and students.

The extent and speed of change in the delivery of services is such that adaptability is essential to this level of appointment. The person chosen will be required to maintain enhance and develop their knowledge skills and aptitudes necessary to respond to changing situations. Therefore this job description is an outline of the current broad areas of responsibility and accountability and should not be regarded as a comprehensive listing. Qualifications Experience & Person Specification

Each candidate must have:

  • Hold a comparable and relevant third level qualification of at least level 6 on the National Qualifications Framework maintained by Qualifications and Quality Ireland (QQI).

  • Strong administration skills including the ability to manage a number of taskssimultaneously whilst maintain attention to detail.

  • Be focused and have the ability to work on their own initiative.

  • Be able to work as part of a team and administrative support within various internal /external stakeholders.

  • The ability to problem solve and find solutions to challenges.

  • Be flexible and adaptable particularly during the busy period toOctober to March each year.

  • An ability to contribute to and work effectively as a member of a smallteam whilst supporting and reporting to the Laboratory Manager.

  • Excellent interpersonal & communication skills and the ability to relate effectively with staff and students (undergraduates andpost-graduates levels and externallaboratory).

  • Proficient in Microsoft office packages- Excel Word Outlook Teams and Zoom.

  • Be able to demonstrate the level of autonomy with competing deadlines.

It would be an advantage if the candidate has:

  • Ability tounderstand Clinical and Technical dental terms in order to process dentallaboratory prescription sheets.

  • Has previous experience working with the Labtrac Laboratory Software.

  • Has previous experience working in a University Hospital Dental Laboratory or PrivatePracticesetting.

  • A minimum of 5 years admin experience in a fast-paced environment.
