Position Summary
The HR Receptionist & Team Assistant acts as a first point of contact for visitors to the Human Resources department and provides general clerical and administrative support for the team. This position is required to be on site 5 days per week.
Primary Responsibilities
- Answers the main Human Resources phone line and responds to customer inquiries and requests
- Visits HR Mail Room daily to send outgoing mail (regular mail/courier) collect mail and distributes across portfolios Human Resources Organizational Health & Organizational Development
- Supports any mass mail outs mail merge stuffing envelopes etc.
- Responsible for collecting and placing the monthly Staples order par level and ordering of general supplies (i.e. printer paper ink envelopes labels etc.)
- Responsible for processing the Corporate Visa including collection of invoices reconciling and payment and tracking all expenses.
- Completes Payroll / Timesheets for the HR Team using the shared HR calendar
- Regular report creation such as the bi-weekly Active Employee Listing Seniority Listing for Staff Scheduling New Hire & Termination List for Communications etc.
- Pulls active files and archives files as requested & completes filing as required
- Updating the Quality and Safety Board in Conference room weekly
- Ensures the department supplies etc. are organized and the department is neat and presentable for visitors
- Responsible for monitoring the Human Resources Mailboxes & HR Forms mailbox and processing general requests such as:
- Employment Letters/Verifications
- Legal Requests
- Meditech Personal Information Updates (Name Changes)
- Processing of employee referral bonus
- Stay and Exit interview distribution and tracking
- Processing resignations to ensure that employees are off-boarded and no longer have access
- Responsible for annual termination file transfer from active filing to archive filing
- Administrative support to any ad hoc HR initiatives i.e. contests events etc.
- Responsible for supporting the Wellness and Recognition committees with event administration
- Creating bi-weekly seniority reports for staff scheduling
- Creating bi-annual seniority report
- Back-up support for LR Coordinator including taking meeting minutes booking employee meetings
- References employees who have left organization
- Mortgage employment confirmations
- Annual ONA Transfer form update to Njoyn
- Updating the Njoyn Master contracts with changes (adhoc)
- Annual Tax Form updates for onboarding package (November)
- Creating the Annual Orientation Dates List
- Updating and maintain the BCHS corporate partners list as well as updating the Intranet and weekly newsletter with promotions
- Cross Training as the Recruitment Associate to provide support and coverage as needed.
Education Requirements
- Position requires a 2 Year Diploma in a related field such as Human Resources Business Administration etc. OR equivalency in Education and Experience.
- Certified Human Resources Professional designation would be considered an asset.
Mandatory Qualifications
- Minimum one year of related work experience with a unionized administrative environment.
Mandatory Competencies
- Understanding of Collective Agreement and the Labour Relations process
- Strong computer Skills (Word Excel Power Point Access Outlook). Advanced Level Microsoft Office Applications Word and Excel. Minimum typing speed of 50 wpm.
- Exceptional organizational skills.
- Strong interpersonal skills insight and ability to listen.
- A high degree of enthusiasm tact diplomacy and confidentiality.
- Must be able to work in a fast paced changing and demanding environment.
- Ability to occasionally be flexible with working hours.
