The opportunity

The Biorisk Management Group (BMG) at CSIROs Australian Centre for Disease Preparedness (ACDP) plays a critical role in maintaining biosafety biosecurity and biocontainment within one of Australias most highly regulated scientific facilities. Comprising 18 specialist staff the team ensures safe and compliant operations while providing expert technical advice on biological security and safety. BMG oversees key processes essential for compliance with multiple regulatory frameworks.

As an Administration Officer you will support the groups regulatory and operational functions by managing documentation and processes that underpin ACDPs quality assurance. This includes coordinating staff training records administering biological transfers and maintaining oversight of activities such as vaccination programs and pest management. Working closely with the BMG leadership and administrative team you will help ensure operational practices are maintained and communicated effectively across internal and external stakeholders. The role demands a high level of discretion confidentiality and professionalism.

Your duties will include:

  • Provide administrative and operational support to the Biorisk Manager to ensure effective biocontainment operations and regulatory compliance.
  • Coordinate access controls staff training records inductions and secure area entry processes for personnel and visitors.
  • Manage documentation and compliance activities including recordkeeping vaccination and titre checks pest control records and biological transfer requests.
  • Maintain accurate electronic document and records management systems (LMS/QMS) in line with CSIRO standards.
  • Support internal and external communications including meeting coordination agendas minutes and follow-up actions.
  • Contribute to administrative projects and continuous improvement initiatives to support the Strategic Facilitys operations.

Role particulars & eligibility

  • Location:Geelong Victoria (on-site position)
  • Salary: AU$76k AU$96k per annum (pro rata for part-time) plus 15.4% superannuation
  • Tenure & work schedule: Indefinite full time

As the successful candidate you will bring:

  • Demonstrated highly developed administration skills including advanced abilities in the use of Microsoft Office applications (including Word Outlook Teams Excel and PowerPoint).
  • Experience in interactions with a diverse range of stakeholders both internal (ACDP staff and affiliates) external clients and regulatory bodies with confidence and clarity.
  • Demonstrated problem solving and adaptive skills.
  • Highly developed time management and organisational skills with a demonstrated ability to prioritise competing demands and escalate issues as appropriate.
  • Proven ability to work co-operatively as a contributor to teams and to interact effectively with key stakeholders.
  • Experience working under a regulatory framework or mandate and experience using SAP O2D or a quality management system (QMS) is desirable.
