The Boston Womens Workforce Council (BWWC) facilitates a public-private partnership between the Boston Mayors office and Boston-area employers to make sure women and particularly women of color are both advanced and paid equitably. Over 200 employers have signed the 100% Talent Compact pledging to:
- seek gender equality in their firms
- share best practices with other Compact Signers by attending quarterly briefing sessions
- contribute their payroll data confidentially every two years to the BWWC Wage Gap Measurement effort so that we can report a community snapshot of progress made in closing the gaps
- provide funding for the Councils operations.
The BWWC is housed at Boston University which acts as the organizations fiscal agent allowing all membership dues to be tax deductible. All BU benefits therefore are available to employees of the BWWC and include health and dental care 401K contributions and tuition reimbursement among others. The Boston Womens Workforce Council (BWWC) Administrative Manager is responsible for supporting the Executive Director in all operational aspects of the the organization including working with the Hariri Institute for Computing and its core administrative team to track member dues from all 200 of BWWCs member organizations budget management and reconciliation. Incumbent expected to have experience with QuickBooks Google Suite Microsoft Office Salesforce Constant Contact and Square Space. Position will be primary contact for external vendors leading projects around operational improvements and supporting senior leadership.
Responsibilities and Duties:
- Systems Maintenance Improvements and Records Retention
- Maintain and enhance all systems that support BWWC operations including outsourced IT Google Suite for email and calendars and all Microsoft Office products Salesforce and Square Space
- Financial Management
- Responsible for keeping budget updated
- Partner with Hariri Institute Financial Manager to make sure revenue and expenses are recorded correctly
- Coordinate with BU Gifts office for correct allocation of funds weekly budget reconciliations
- Manage vendors estimates and invoices
- Keeping ED informed of any issues and supporting overall financial management of the organization
- Project Management
- Manage all functional aspects of the BWWCs biggest program biennial data collection
- Lead production of the annual report including building all timelines holding stakeholders to deadlines and managing printing and mailing of the document
- Meeting and Vendor Coordination
- Coordinate all meetings with both internal and external partners including high visibility presentation deck preparation for all team members
- Manage outsourced IT vendor work
- Event Support
- Act as key point person for all BU logistics as well as other vendors
- Support both Engagement Director and outside resource on execution of all events
- Support special projects as needed
- This position reports directly to the BWWC Executive Director
Required Skills
Qualifications:
- Ideal candidate would have a Bachelors degree and 2 years of relevant experience in managing administrative duties in an office environment
- Demonstrated expertise in Microsoft Office (especially PowerPoint Excel and Word) Salesforce Google Suite for Business Square Space website management software and Constant Contact
- Proven ability in financial management including budgeting and weekly financial reconciliations
- Experience coordinating meetings and keeping team calendars up to date
- Excellent organizational skills
- Superior attention to detail
- Comfortable multi-tasking and being flexible when priorities shift
- Effective communicator in both writing and orally
